Job Summary
The Administrative Assistant I provides comprehensive administrative, operational, and financial support to the Director and staff of the Academic Success Center (ASC), a multi-location unit serving 13 colleges. This position ensures the efficient day-to-day operation of the ASC by managing front office functions, coordinating purchasing and payroll processes, maintaining office continuity, and supporting program logistics and event coordination. Serving as the primary administrative liaison for the Director, the Administrative Assistant I plays a key role in facilitating communication, organization, and workflow across ASC locations to enhance service delivery and contribute to university-wide student success initiatives.
Responsibilities
The duties include, but are not limited to:
ADMINISTRATIVE & OPERATIONAL SUPPORT:
Serve as the primary administrative support to the Director and ASC leadership team, including scheduling meetings, managing calendars, coordinating appointments, and preparing materials.
Oversee daily office operations across two primary locations and one satellite site, ensuring efficiency and consistency in service delivery.
Provide frontline service to students, faculty, staff, and external stakeholders via in-person, phone, and email interactions; greet guests and direct inquiries appropriately.
Manage departmental communications, including the ASC email account, correspondence, and recordkeeping for staff, programs, and student engagement.
Process paperwork according to established workflow structures, including travel, purchasing, payroll, and other administrative documentation.
Maintain office supplies, manage inventory, and coordinate mail distribution.
Support program and event logistics, including room reservations, catering, and VIP accommodations, in collaboration with ASC staff.
Troubleshoot technical or scheduling issues and assist with the coordination of staff meetings and documentation.
PROVIDES STUDENT EMPLOYEE SUPPORT:
Support student employees and volunteers by tracking timekeeping, Federal Work-Study allocations, and performance documentation.
Assist with recruiting, onboarding, and maintaining accurate employment records in compliance with ASC and university policies.
SERVES AS SUPPORT & ASSISTANCE:
Assist the Director and Assistant Director with planning, reporting, and operational initiatives.
Compile and analyze data for institutional reporting, coordinate cross-functional communication, and support departmental compliance with policies and procedures.
OTHER DUTIES AS ASSIGNED:
Provide additional administrative or project support as directed to advance ASC initiatives and ensure operational continuity.
Support projects, assist with reporting, contribute to ASC initiatives, and provide support to others as directed or assigned.
Required Qualifications
Associate's degree from an Accredited College or University in a related field and a minimum of 3 years of progressively responsible experience in administrative support positions
or
High school diploma/GED from a recognized State or Federal accrediting organization and 6 years of progressively responsible experience in administrative support positions.
Preferred Qualifications
Bachelor's degree from an Accredited College or University with experience in marketing, event planning, human resources, and/or customer service.

Pay Band: B2
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
