Staff Operations Administrative Support Officer

Tagged: TS/SCI w/CI Poly SHINE Systems is pipelining for a Staff Operations Administrative Support Officer to provide executive administrative support to senior leadership for our customer. This role supports daily office operations and leadership coordination in a dynamic, high-tempo environment. The ideal candidate will have experience supporting senior executives, managing competing priorities, and ensuring administrative processes run efficiently in mission-focused organizations.

Responsibilities:

  • Manage executive calendars, schedules, and appointments to support leadership priorities and operational requirements
  • Draft, edit, and prepare executive-level correspondence, guidance, and summary documents
  • Coordinate and process travel orders and related travel documentation in accordance with government procedures
  • Manage and track taskings using DARTs, including ingesting, cataloging, organizing, distributing, monitoring progress, providing status updates, and closing out both DARTs and non-DARTs taskings as required by the COR/TPOC

Required Qualifications:

  • Minimum 5 years of experience in an executive assistant or executive support role, preferably supporting the Department of Defense (DoD) or the Intelligence Community
  • Proficiency with the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience using DARTs for task management, including coordinating, tracking, and closing taskings
  • Demonstrated ability to operate effectively in fast-paced, high operational environments

Preferred Qualifications and Skills:

  • Experience supporting the Department of Defense (DoD) or Intelligence Community
  • Excellent written and verbal communication skills
  • Ability to work independently and manage priorities with minimal supervision

Required Security Clearance: Top Secret/SCI with CI Poly

Education: Bachelor's degree (Business Administration or related field preferred)
