Job description

Administration Executive Assistant

We are seeking an Administration Executive Assistant to support our office operations, providing a variety of routine and occasionally some complex administrative, clerical and technical work in assistance to the County Administrator and supporting staff; performing day-to-day tasks necessary to ensure accurate and timely performance of duties.

Essential Functions:

  • Prepares routine and/or non-routine letters, agenda, memoranda, forms and other correspondence
  • Types, proof reads, assembles and distributes agendas and agenda packets for County Commission and other meetings
  • Required to set up and tear down Commission meetings, Department Head meetings and other special work sessions
  • Prepares purchase orders and does vendor research
  • Maintains inventory and ordering of office supplies
  • Maintains credit card accounts and correspondence with credit card company for Administration, H.R. and Commissioners
  • Maintains bidding, ordering and tracking of paper supply for all County Departments
  • Assists with research for annual budget preparation and assembles budget packets for budget workshops
  • Prepares and distributes monthly County Commission calendar
  • Distributes mail to the County Administrator, Human Resources staff and County Commissioners
  • Types documents for legal publications and new releases
  • Maintains the appointed Board book and the application process for those Boards
  • Maintains, updates and initiates any changes necessary with Seward County insurance policies, as directed
  • Coordinates scheduling for appointments, meetings, conferences, etc.; makes travel arrangements; confirms appointments and/or reservations, as required
  • Receives and screens calls, mail and visitors; responds to inquiries and initiates fact-finding to resolve issues of a non-routine nature
  • Updates and maintains official Seward County website and Facebook page
  • Enforces and maintains compliance with all federal, state and local laws and ordinances
  • Performs other duties as assigned or deemed necessary
  • Complies with all organizational and departmental policies and procedures
  • Operates all job-related equipment, machinery, tools and other aids as required or needed
  • Protects and maintains any confidential information you have access to, whether oral, written, or electronic

Qualifications:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.   • Proven work experience as an Administration Assistant, Administrative Assistant, or similar role
  • Proficiency in MS Office (MS Excel and MS Word, in particular)
  • Strong time management skills and the ability to prioritize work effectively
  • Attention to detail and excellent problem-solving skills
  • Outstanding written and verbal communication skills
  • High school diploma; 5 years of qualifications in Office Administration are advantageous
