Position Summary

We are seeking a Client Support Services Associate for our wealth management Office in Tukwila, WA. If you thrive in a fun, fast-paced, small office environment and enjoy supporting multiple teams through detailed operational work, you should consider this position.

This role is ideal for someone who enjoys working behind the scenes, solving problems, staying organized, and helping Financial Advisor teams deliver an exceptional client experience.

 

Position Overview

This is a professional position that will primarily focus on supporting Financial Advisor teams across the Mainspring network by completing operational, account maintenance, paperwork, and service-related tasks. This individual will be part of the Business Support Team and will work directly with advisor teams to gather needed information, complete assigned task work, and help ensure requests are handled accurately and efficiently.

This individual will work alongside other Client Support Services Associates to manage the overall task load for advisor teams. The ideal candidate must have strong attention to detail, the ability to manage multiple priorities, and the confidence to work independently while also collaborating closely with team members.

 

Responsibilities

  • Prepare, process, and track various new account, account maintenance, transfer, cash movement, and service-related tasks while maintaining a high caliber of internal customer service.
  • Support multiple Financial Advisor teams across the Mainspring network by completing task work submitted through the Business Support Team.
  • Communicate effectively with advisor teams regarding missing information, clarification needs, task status, and follow-up items.
  • Help ensure requests are completed accurately, consistently, and in a timely manner.
  • Review task requests carefully to determine what action is needed and identify any additional information required before processing.
  • Partner with Client Relationship Managers to gather client information or documentation when needed.
  • Research and resolve operational questions or issues that may impact account servicing, task completion, or the overall client experience.
  • Maintain organized records of assigned work, pending items, and completed tasks.
  • Work collaboratively with other Client Support Services Associates to balance workload and support team goals.
  • Assist with account opening, account updates, paperwork preparation, DocuSign requests, account servicing, and other operational support needs.
  • Interface with appropriate internal parties to ensure client-related tasks are completed in a timely manner.
  • Proactively identify opportunities to improve systems, workflows, documentation, and processes within the Business Support Team.
  • Support advisor transition and onboarding-related projects as needed.
  • Maintain confidentiality and accuracy when handling client and account information.
  • Provide occasional client-facing support only when needed and as directed by the advisor team or Business Services Manager.

 

Key Qualifications

  • Exceptional attention to detail with the ability to identify discrepancies, missing information, and potential processing errors before work is submitted.
  • Self-motivated, reliable, and able to work independently.
  • Strong written and verbal communication skills.
  • Manage a high volume of service requests while prioritizing work based on deadlines, urgency, and advisor team needs.
  • Process-driven, solution-oriented, and comfortable researching answers.
  • Strong follow-through and ability to track pending items through completion.
  • Ability to work well with a variety of advisor teams and internal support partners.
  • Must be comfortable working in a collaborative team environment while also owning individual responsibilities.
  • Strong computer skills are required, including Microsoft Office products.
  • General understanding of wealth management operations preferred.
  • B.A. / B.S. or relevant industry experience preferred.
  • Experience working for a bank, credit union, broker-dealer, wealth management office, or similar financial services organization is a plus.
  • Professional attitude, dependable attendance, and a commitment to maintaining confidentiality.
