THE ROLE

The Senior Benefits & Payroll Specialist is the primary owner of all benefits administration for the organization. This role ensures accurate, timely, and compliant execution of benefit programs while providing secondary support to payroll operations. The position serves as a key liaison between Finance (Payroll) and HR, ensuring data accuracy, employee support, and smooth coordination across systems.

KEY RESPONSIBILITIES

Benefits Administration

  • Administer all benefit programs, including medical, dental, vision, life, disability, and voluntary benefits
  • Manage new-hire benefit onboarding, qualifying life event changes, and annual open enrollment
  • Partner with HR on benefit communications, employee education, and policy updates
  • Respond to employee benefit inquiries and provide high-quality service
  • Maintain benefit records and ensure data accuracy across HRIS and payroll systems
  • Coordinate benefit carrier files, reconciliations, and invoice reviews
  • Support COBRA, FMLA, and leave-of-absence processes
  • Support 401(k) administration through quarterly deferral audits, resolving contribution discrepancies, and assisting with annual census reporting
  • Support annual ACA reporting by validating eligibility and coverage data and coordinating with HRIS and vendors on form distribution and filing

Payroll Support

  • Serve as backup for payroll processing during absences or peak periods
  • Assist with payroll data validation related to benefit deductions and adjustments
  • Support year-end activities such as W-2 benefit reporting
  • Collaborate with the Payroll Manager to ensure benefit-related payroll impacts are accurate

Compliance & Systems

  • Ensure compliance with ERISA, ACA, HIPAA, and other regulatory requirements
  • Partner with the HRIS team on benefit configuration updates and reporting
  • Support internal audits and Finance compliance reviews

Reporting Structure

  • Reports to the Payroll Manager
  • Works closely with the HR and HRIS teams

QUALIFICATIONS & EXPERIENCE

  • 3–5 years of benefits administration experience (payroll experience a plus)
  • Strong understanding of benefit regulations and compliance (ERISA, ACA, HIPAA)
  • Experience supporting annual compliance cycles such as ACA reporting, 401(k) audits, and open enrollment
  • Experience with HRIS platforms (UKG preferred) and benefits administration or carrier systems
  • Strong analytical skills, including audit support and data validation
  • High attention to detail, confidentiality, and employee service
  • Strong communication skills with employees, vendors, and cross-functional teams
