We're looking for a Project Coordinator who wants to own the Configured order motion end-to-end, deliver assigned projects, and run the procurement engine behind every Build project we ship.
Role Overview
Reporting to the Sales Operations Manager, the Project Coordinator owns the Configured order motion from the sales handoff through close, delivers Standard projects assigned by the Project Engineer, and owns procurement and coordination across every Build project. We deliver three ways:
  • Box Sales-transactional product orders that ship and go.
  • Configured Sales-in-facility programming, keying, or assembly with no on-site install.
  • Project Sales-full solutions with GoKeyless installation on site - scoped as Standard or Complex.

Key Responsibilities
  • Own Configured end-to-end-Take the handoff from the sales rep, validate the deal before customer presentation, build the complex Configured quote within your pricing authority, and run the order from scope confirmation through clean-and-tested, ship, train, and close.
  • Hold the checkpoints-When a stage gate isn't met, the order doesn't advance. You own bringing it back on track.
  • Deliver assigned Standard projects-Run the Standard projects the Project Engineer assigns to you with the same intake, schedule, customer-communication, and close discipline applied to every project we deliver.
  • Own purchase orders-Issue and manage POs in NetSuite - accurate SKUs, quantities, vendor terms, pricing, and ship-to addresses. Confirm acceptance, track ship and delivery dates, and keep vendor records clean.
  • Set the source path-Manufacturing vendor first (dormakaba, Allegion). Authorized distributor (SecLock, IML) when lead-time would break the customer promise. Escalate margin-floor breaches to Finance.
  • Support 3-way match-Partner with the Warehouse Operations Manager on receiving and the AP Specialist on invoice processing. Validate vendor invoices against approved POs and retain audit-ready documentation.
  • Hold material readiness-Make sure material is on site or in inventory by the need date. Surface vendor delays, partial shipments, or substitution risk early - don't let it hit the schedule.
  • Protect margin-Price Configured within your authority and escalate beyond the threshold per the commercial approval process. Surface recurring vendor, lead-time, or pricing patterns for resolution.
  • Use AI well-Lean on Claude to accelerate vendor communication, PO drafting, and exception research - and protect your time for the coordination work.

Qualifications
Must-Haves
  • 2+ years in purchasing, procurement coordination, or supply chain operations - ideally in a project-based or VAR environment.
  • Comfort taking a sold order from a sales rep, validating it, building a complex quote within a defined pricing authority, and running assigned projects to close.
  • Demonstrated ability to manage a high volume of purchase orders with vendor follow-through and accuracy.
  • Working knowledge of 3-way match (PO, receipt, invoice) and the procure-to-pay workflow.
  • Proficiency with NetSuite or a comparable ERP; comfort with Shopify; strong Excel skills.
  • Demonstrated use of AI tools (Claude) to accelerate vendor communication, PO drafting, and exception research.

Nice-to-Haves
  • Experience in a VAR, distribution, or product-based business with multi-vendor project procurement.
  • Direct exposure to security access, hardware, or building technology procurement.
  • Associate's or Bachelor's degree in Business, Supply Chain, or a related field - or equivalent experience.
