501-Landscape-2509-501 Landscape Contracts Quality Inspector

JOB SUMMARY:

Provides quality control oversight and contract compliance support for landscape maintenance operations. Conducts field inspections, documents work progress, monitors adherence to established standards, specifications, schedules, safety requirements, and coordinates corrective actions as needed. Assists with project administration, contract management, reporting, data management, and customer service activities to support the Landscape Services Division.

ESSENTIAL FUNCTIONS:

  • Conduct routine inspections of landscape maintenance operations performed by in-house crews and contractors to ensure compliance with community standards, industry best practices, project specifications, schedules, and safety requirements.
  • Monitor and document work progress through inspection reports, photographs, daily and weekly reports, project logs, and related records.
  • Identify maintenance deficiencies, landscape concerns, and contract compliance issues; coordinate corrective actions with supervisors, contractors, managers, vendors, and other stakeholders.
  • Collaborate with management and contractors to establish maintenance priorities, schedules, work assignments, and performance expectations.
  • Evaluate ongoing and completed work related to landscape appearance, irrigation systems, arboricultural services, slope maintenance, and other grounds maintenance operations to ensure quality and consistency with community standards.
  • Respond to resident inquiries and service requests; investigate concerns, recommend solutions, coordinate follow-up actions, and document resolutions.
  • Maintain and organize records including inspection reports, contracts, budgets, invoices, project schedules, maintenance records, requests for information, plans, specifications, and other project documentation.
  • Assist with preparation of Requests for Proposals (RFPs), contract administration, invoice review and processing, project tracking, document management, and project close-out activities.
  • Attend meetings with contractors, consultants, utility representatives, regulatory agencies, vendors, residents, and staff; document discussions and distribute follow-up materials as needed.
  • Coordinate project activities and provide technical support for landscape maintenance, irrigation, tree care, and related operational programs.
  • Monitor contractor performance, project schedules, and timelines to ensure work is completed efficiently, safely, and in accordance with established requirements.
  • Upload, organize, and maintain electronic project files, plans, specifications, photographs, and related documentation.
  • Participate in employee safety and training programs and support safe work practices throughout assigned operations.
  • Operate a vehicle to travel to inspection sites, meetings, training sessions, and other job-related locations.
  • Establish and maintain effective working relationships with staff, contractors, consultants, residents, vendors, and the public through professional communication, collaboration, and problem resolution.
  • Maintain regular and reliable attendance. All duties are performed on-site within the Community..

NON-ESSENTIAL FUNCTIONS:

  • Assist with special projects and priority assignments impacting the Landscape Services Department.
  • Confer with the Landscape Manager regarding recurring maintenance issues, quality standards, contractor performance, landscape improvements, tree removals, replacements, and related matters.
  • Provide support to other departments as needed for projects involving landscape operations and community improvements.

 

EQUIPMENT OPERATED:

Truck, utility vehicles, calculator, telephone and hand-held radio.

WORK ENVIRONMENT:

Exposure to dust, equipment fumes, and normal outdoor elements.

 

DESIRABLE QUALIFICATIONS:

Graduation from high school, two-year college, or equivalent education and experience in landscape maintenance, horticulture, contract administration, project coordination, construction inspection, or a related field that demonstrates the following:


• Knowledge of landscape maintenance practices, irrigation systems, arboricultural principles, and horticultural standards.
• Knowledge of contract compliance and quality assurance inspection methods.
• Knowledge of administrative and project management principles.
• Knowledge of occupational safety practices applicable to landscape operations.
• Knowledge of computer systems and applicable software programs.
• Knowledge of report preparation, record keeping, and documentation methods.
• Ability to inspect and evaluate landscape maintenance work and identify deficiencies.
• Ability to prepare clear, accurate, and concise written reports.
• Ability to organize, prioritize, and manage multiple projects and assignments simultaneously.

• Ability to communicate effectively with employees, contractors, consultants, residents, and regulatory agencies.

• Ability to maintain effective working relationships and resolve concerns tactfully and professionally.

• Ability to understand and relate to the needs of senior citizens.

• Ability to follow and interpret complex oral and written instructions.

SPECIAL REQUIREMENTS:

• Possession of a valid California driver’s license.

 

PREFERRED QUALIFICATIONS:

• Possession of a state issued qualified applicator’s license.

• Possession of an ISA Certified Arborist credential.

 

PHYSICAL REQUIREMENTS:

Requires frequent walking, standing, sitting, bending, stooping, kneeling, reaching, grasping, and use of hands and fingers. May occasionally lift and carry up to 50 pounds. Requires field inspections over varied terrain and prolonged computer use for documentation and reporting.

MENTAL REQUIREMENTS:

Reading, detailed work, problem solving, analysis, planning, scheduling, reasoning, training, confidentiality, customer service, verbal and written communication, and management of multiple concurrent tasks.
