Loan Car Coordinator

Full-Time | $18.00 - $20.00 Per Hour 

Wilson Auto Family is seeking a highly organized, detail-oriented, and customer-focused Loan Car Coordinator to oversee our service loaner vehicle program. This position plays a critical role in supporting our Service Department by ensuring loaner vehicles are properly tracked, maintained, and managed while delivering an exceptional customer experience.

Success in this role requires adaptability, urgency, attention to detail, and a commitment to providing an outstanding customer experience. 

Key Responsibilities 

• Manage the daily check-in and check-out process for loaner vehicles. 

• Inspect vehicles for damage, document mileage and fuel levels, and ensure all agreements are properly completed in OnTrac. 

• Track loaner vehicle usage, including loan duration, mileage, repair order accuracy, plate expirations, recalls, and vehicles placed on hold. 

• Communicate with customers regarding loan renewals, status updates, vehicle returns, and waitlist availability. 

• Maintain and manage the loaner vehicle waitlist while prioritizing customer needs. 

• Retire and create loaner vehicles in accordance with dealership policies and procedures. 

• Provide daily support to Service Advisors by communicating updates related to loaner vehicle availability. 

• Maintain accurate records and ensure all fleet documentation remains current and compliant. 

• Coordinate with Service Advisors, Parts, and Management to support efficient loaner fleet operations. 

Qualifications 

• Strong organizational skills with exceptional attention to detail.

• Excellent communication and customer service abilities. 

• Strong problem-solving skills with the ability to think critically and develop alternative solutions. 

• Ability to multitask, prioritize workload, and adapt quickly to changing circumstances. 

• Proficiency with computers and dealership software systems. 

• Valid driver's license with an acceptable driving record. 

• Previous dealership, automotive, customer service, or service department experience is preferred but not required. 

Compensation & Benefits 

Pay: $18.00 - $20.00 per hour

Monday through Friday 
8:00 AM to 5:00 PM
