Writers House is an independently owned, full-service literary agency representing a diverse group of award-winning and bestselling authors.


Writers House is seeking a talented and detail-oriented Royalty Processing & Operations Coordinator to join our accounting team.


The Role

The Royalty Processing & Operations Coordinator is responsible for tracking, reconciling, and processing incoming ACH and wire payments from domestic and international publishers and literary agents. The position will ensure that payments are properly matched to supporting documentation and accurately processed through our royalty accounting system, Literary Expert.


Job Responsibilities

  • Track and reconcile incoming ACH and wire payments from domestic and international publishers, and sub-agents. 
  • Match payment documentation to incoming payments and investigate discrepancies or unreconciled amounts.
  • Convert international payments reported in local currencies into U.S. dollars using the appropriate exchange rates and bank deposit details.
  • Process reconciled payments accurately and in a timely manner through Writers House's royalty processing system, Literary Expert.
  • Communicate with domestic and international publishers and sub-agents to obtain supporting documentation and resolve outstanding or unreconciled payments.
  • Work closely with all departments to research, investigate, and resolve payment-related issues.
  • Prepare and distribute a companywide weekly open deposit summary.
  • Respond to inquiries from Writers House Agents and assistants regarding advance and royalty payments.
  • Identify opportunities to improve existing processes and workflows and recommend efficiency improvements.


Qualifications

Three to five years of experience in a similar royalty payment processing role; publishing experience with a royalty processing system like Literary Expert is highly desirable.

  • Exceptional organizational and communication skills, both verbal and written.
  • Strong working knowledge of Microsoft Office, particularly Excel.
  • Excellent problem-solving, research, and analytical skills.
  • Strong attention to detail.
  • Ability to independently investigate and resolve discrepancies.

 

Position & Compensation


This is a full-time, permanent position requiring the candidate to work in the Writers House New York office three days per week minimum.

Compensation:

  • $55,000–$65,000 annually for candidates with 1–2 years of relevant experience
  • $58,000–$70,000 annually for candidates with 3–5 years of relevant experience
