Summary
Whatcom County Public Works, and Divisions, has a vacancy for the position of Administrative Secretary. This position independently performs a wide variety of complex and confidential administrative, clerical, financial, and program support functions for the Stormwater and Administrative Divisions. The position works collaboratively with multiple programs and sections to support division and departmental objectives.
Essential Job Duties include:
  • Provides administrative support for a variety of programs and initiatives, including but not limited to: the Water Resources Improvement Program, Capital Improvement Program, Stormwater advisory committees, Environmental Permitting, Construction Apprentice Program, Title VI compliance tracking, and public disclosure request tracking.
  • Assists management and staff by coordinating schedules, preparing correspondence, maintaining records, tracking deadlines, and supporting program implementation and reporting requirements.
  • Assembles and submits documents/contracts necessary for Council and/or Executive consideration.
  • Works with Public Works Accounting staff to research and resolve discrepancies, process invoices and monitor financial deadlines.
  • Coordinates clerical and administrative work with other divisions, programs, and agencies as needed to support Department goals and objectives.

Supervisor: Administrative Supervisor
Salary Range: MCBA Range 112.0, $25.42 - $38.53 per hour, DOQ.
Hiring rate depends on qualifications. This position receives annual pay increases to the next step in the associated salary range (apx. 3.8%) subject to satisfactory performance, in addition to any negotiated Cost of Living Adjustments (COLA).
We are required by State Law to list the full salary range. As a public entity, we are required to make pay decisions based on experience, qualifications, and equity with other employees. Hiring rate typically is limited to entry to mid of the posted salary range, subject to required approvals.
Qualifications
  • Requires a high school diploma or GED, successful completion of 20 hours of college-level courses in bookkeeping, office management and supervision, AND five (5) years of progressively responsible general clerical. secretarial or other relevant experience.
  • OR
  • Requires an Associate's degree and two years of progressively responsible general clerical, secretarial or other relevant experience.
  • International Association of Certified Administrative Professionals (CAP) Certification may be substituted for 20 hours of college-level courses.
  • Must have a driving record that meets County standards and possess a valid driver's license at time of hire and throughout employment.
  • Must become a Notary Public and maintain throughout employment.

Requires the ability to:
  • Type accurately and proficiently with a speed of 40 net words per minute.
  • Be proficient with word processing and spreadsheet applications.
  • Contribute to a work environment where continuous quality improvements in service and professional practice are pursued.
  • Communicate effectively and professionally with diverse customers.
