Job description

Position Summary
Coordinates referrals from Primary Care providers to UCSF Health specialty services, including authorizations, insurance verification, and scheduling support. Assists patients who need advanced or specialized evaluation and treatment, such as cardiology, gastroenterology, endocrinology, neurology, orthopedics, behavioral health, surgery, imaging, and other UCSF specialty programs. Serves as a key point of contact for patients, clinicians, UCSF specialty practices, and external physician offices to ensure referrals are complete, timely, and aligned with the patient's care needs. Provides additional support with registration, MyChart, and Patient Services Representative functions to promote a smooth patient experience and continuity of care. Supports registration, insurance verification, MyChart, and Patient Services Representative functions while helping ensure complete information, timely follow-through, and continuity of care.
Essential Duties and Responsibilities
  • Coordinate internal and outgoing specialty referrals and direct patients to the appropriate clinic or service.
  • Obtain required authorizations and verify specialty-specific and payer requirements before scheduled services.
  • Research insurance discrepancies and partner with registration and scheduling staff to resolve coverage concerns.
  • Coordinate referral appointments with destination specialty offices and communicate requirements and status updates to patients.
  • Confirm that testing and documentation associated with specialty referrals are ordered, received, and included in the communication workflow.
  • Serve as the frontline resource for referral and authorization questions and assist MA and PSR teams with related workflows and learning needs.
  • Monitor assigned Epic work queues, identify unresolved items or trends, and support workflow improvement and staff education.
  • Route self-pay documentation to Revenue Cycle and arrange coverage for time-sensitive responsibilities during planned absences.
  • Provide PSR backup as needed, including phones, registration, scheduling, check-in/check-out, copayment collection, document processing, and routine billing corrections.
  • Maintain patient confidentiality, follow HIPAA and UCSF Health Medical Foundation requirements, provide professional customer service, and perform other duties as assigned.

Knowledge, Skills, and Abilities
  • Knowledge of referral, authorization, registration, scheduling, insurance verification, and patient access workflows.
  • Proficiency using Epic or another electronic health record, RightFax, Microsoft Outlook, Microsoft Office, and standard office equipment.
  • Ability to research payer requirements, identify missing information, and resolve or appropriately escalate referral and authorization issues.
  • Strong organizational and follow-through skills with the ability to manage multiple time-sensitive referrals and priorities.
  • Excellent customer service, interpersonal, written, and verbal communication skills.
  • Ability to communicate effectively with patients, families, clinicians, external physician offices, payers, and specialty practices.
  • Ability to support team learning, identify workflow improvements, and maintain composure in difficult situations.
  • Commitment to confidentiality, cultural sensitivity, patient rights, ethical conduct, teamwork, and UCSF Health Medical Foundation service standards.

Education
  • High school diploma or equivalent required.
  • Additional training in healthcare administration, patient access, referrals, or medical office operations preferred.

Typical Experience
  • Experience coordinating referrals, authorizations, scheduling, registration, or insurance verification in an ambulatory healthcare setting required.
  • Experience supporting Maternal-Fetal Medicine, specialty care, complex referrals, or patient access workflows preferred.

$29.00-$35.00 an hour
