About SPARKS-USA

The SPARKS-USA Leadership Program is a leadership and professional development program designed to empower immigrant and multicultural women in California and beyond. Through interactive workshops, mentoring, networking, and community engagement, SPARKS-USA helps participants strengthen their leadership skills, advance their careers, navigate cultural transitions, and build meaningful professional connections.

We are seeking a highly organized, proactive, reliable, and mission-driven Administrative & Admissions Assistant Intern to support the planning, recruitment, coordination, and delivery of our upcoming program cohort.

This position is ideal for a student or early-career professional interested in women’s empowerment, leadership development, education, nonprofit organizations, community engagement, recruitment, and program administration.

No previous professional experience is required. We are looking for someone who is dependable, eager to learn, communicates professionally, and is enthusiastic about contributing to the SPARKS-USA mission.


Key Responsibilities

Program Coordination & Administrative Support

• Assist with the coordination of Saturday leadership sessions and program activities.

• Communicate with facilitators prior to each session to confirm schedules and provide reminders and necessary information.

• Send timely reminders and updates to program participants before sessions.

• Monitor attendance and maintain accurate attendance records.

• Communicate promptly with the program leadership team regarding absences, scheduling issues, or other concerns.

• Maintain regular communication with participants throughout the program.

• Help prepare program calendars, agendas, schedules, and timelines.

• Serve as a point of contact for participants, facilitators, and guest speakers for routine program communications.

• Draft and send professional emails, reminders, announcements, and follow-up communications.

• Assist with participant onboarding and respond to general questions in a timely and professional manner.

Admissions & Participant Recruitment

• Support recruitment efforts for upcoming SPARKS-USA cohorts.

• Help promote the program to prospective participants through universities, community organizations, professional networks, and social media.

• Identify potential organizations, student groups, and community partners that may help connect SPARKS-USA with prospective applicants.

• Assist with responding to inquiries from prospective participants and provide information about the program and application process.

• Follow up with prospective applicants regarding applications, deadlines, interviews, and required materials.

• Help maintain and organize applicant information and recruitment records.

• Assist with scheduling applicant interviews and other admissions-related activities.

• Support communication with accepted participants and help facilitate the transition from admission to program onboarding.

• Assist with developing recruitment materials, announcements, and outreach messages as needed.

Events & Program Materials

• Support preparation for Opening Day, workshops, networking activities, and the program’s closing celebration.

• Assist with registration, sign-ins, participant materials, and other event logistics.

• Coordinate the distribution and collection of program materials, assessments, evaluations, and surveys.

• Help organize program documents and maintain accurate records.

Professional & Organizational Responsibilities

• Maintain confidentiality and professionalism when handling participant and applicant information.

• Attend administrative/team meetings as needed.

• Support special projects that advance the mission and goals of SPARKS-USA and TWI.

Preferred Qualifications

• Strong organizational and time-management skills.

• Professional and responsive communication style.

• Ability to follow through on tasks and meet deadlines.

• Comfortable communicating through email, text/WhatsApp, Zoom, and other digital platforms.

• Interest in leadership development, women’s empowerment, immigrant and multicultural communities, education, or nonprofit work.

• Ability to work both independently and collaboratively.

• Familiarity with social media and outreach is a plus but not required.
