We are looking for a highly organized, customer-focused Office Administrator to support our growing team. This role is ideal for someone who enjoys helping customers, keeping systems organized, and ensuring the office runs smoothly every day.


Position Summary


The Office Administrator serves as the first point of contact for customers and supports daily office operations. This person will answer phones, manage emails, assist with scheduling, process invoices, support payroll administration, and help our sales and operations teams stay organized.


This position is critical to creating an outstanding customer experience and ensuring efficient office operations.


Responsibilities


Customer Service & Communication


Answer incoming phone calls and direct inquiries

Respond to customer emails and website inquiries

Assist customers with scheduling and service questions

Follow up with customers regarding estimates and outstanding requests

Maintain a professional and friendly customer experience


Administrative Support


Create and send invoices

Process customer payments

Assist with collections and accounts receivable follow-up

Maintain customer records in Housecall Pro and other systems

Organize digital files and company records


Sales Support


Follow up on estimates and proposals

Schedule appointments for estimators and managers

Track leads and customer opportunities

Support customer retention and referral programs


Payroll & HR Support


Review employee timesheets for accuracy

Assist with payroll processing

Maintain employee files and onboarding paperwork

Support recruiting and hiring activities as needed


Office Operations


Order office supplies

Coordinate vendor and subcontractor paperwork

Assist management with reports and special projects

Support daily office efficiency and organization


Qualifications


2+ years of administrative, office, customer service, or related experience

Strong phone and email communication skills

Excellent organizational and time management skills

Comfortable using Microsoft Office and Google Workspace

Ability to learn Housecall Pro, LMN, and other business software

Detail-oriented and dependable

Bilingual English/Spanish is a plus

Compensation & Benefits


$22–25 per hour based on experience
