About the Role

We're looking for an Operations Associate to help keep our financial planning and client service engine running smoothly.


This role is ideal for someone who thrives on organization, attention to detail, and follow-through. You'll coordinate the administrative and operational aspects of our client experience by keeping workflows moving, preparing for client meetings, managing outstanding items, and ensuring important details don't fall through the cracks.


Most importantly, we're looking for someone who takes ownership. The right person notices when something is missing, follows up without being asked, and takes pride in seeing things through to completion.

What You'll Do

Financial Planning Operations

  • Manage financial planning workflows across the planning lifecycle
  • Track planning engagements, deadlines, outstanding items, and next steps
  • Coordinate invoicing and recurring service activities
  • Prepare forms for client signature.
  • Enter and maintain accurate client information within our CRM and financial planning software
  • Identify stalled or incomplete workflows and proactively help move them toward completion


Meeting Preparation & Case Coordination

  • Prepare advisors for client meetings through thoughtful organization and preparation
  • Generate meeting agendas and other preparation materials
  • Review prior meeting notes, outstanding action items, and anticipate client needs


Client Service & Account Maintenance

  • Process account maintenance requests including: beneficiary updates, payment instruction updates, and other account maintenance requests
  • Support investment and insurance servicing activities by supporting our senior team members by reducing their administrative tasks
  • Monitor outstanding client paperwork and proactively follow up with clients, advisors, and internal team members as needed
  • Maintain accurate client records, CRM data, and documentation
  • Communicate clearly and proactively so clients & advisors understand what is needed, what happens next, and where their requests stand


What Success Looks Like

  • You're successful in this role when advisors are prepared, client requests move successfully to completion, planning workflows stay on track, and the team can trust that when something lands with you, they can consider it done.
  • You anticipate next steps, communicate proactively, and notice details others might miss. You don't wait for someone to tell you that something is overdue—you see it, follow up, and move it forward.
  • Over time, you'll develop a strong understanding of our clients, systems, and processes and become a trusted resource for both our advisors and operations team.


Core Qualifications

  • 2+ years of experience in operations, client service, financial services, insurance, banking, or another detail-oriented professional environment
  • Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously
  • Excellent attention to detail and follow-through
  • Strong written and verbal communication skills
  • A proactive approach to problem-solving and a willingness to take ownership of responsibilities
  • Comfort working within established processes while identifying opportunities to make them better
  • Ability to learn new technology, systems, and processes quickly
  • Proficiency with Microsoft Office


Preferred Qualifications

  • Prior experience in financial services, wealth management, financial planning, insurance, or a related industry
  • Experience supporting financial advisors or planners
  • Familiarity with investment account servicing and operations
  • Experience with Advisor360, Wealthscape, RightCapital, Envestnet, or similar financial services platforms


Financial services experience is a plus, but it isn't everything. We're equally interested in candidates who bring strong operational instincts, exceptional follow-through, and a genuine desire to learn.


Expected hours are Monday-Friday from 8am-4:30pm. We offer meaningful flexibility in schedule and work location for team members who consistently deliver accurate, on-time work — the better the track record, the more autonomy you can expect.


Compensation & Benefits

  • $50,000–$55,000 annual salary
