Position: Marketing & Booking Coordinator

Status: Full-time, 40 hrs/week, in-office in Tampa, FL

Compensation: 50k – 70k yearly (Based on Marketing Experience; flexible) (Plus commission if the shows are profitable)

Your Team

Reports directly to the CEO on booking and the Director of Marketing on marketing work, with day-to-day coordination alongside the trade show team on booking logistics. Coordinates with show organizers, internal reps, and outside direct mail, Meta, and other marketing/channel partners.


Position Summary

This is a full-time, in-office role based in Tampa, built primarily around growing and diversifying trade show marketing, with trade show booking/admin as a smaller, clearly bounded piece of the workload (roughly 10-15 hours per week). On the booking side, it owns daily correspondence, new show research, and meticulous spreadsheet/document upkeep, with a direct eye toward booking only shows that are likely to be profitable, and identifies routine tasks (such as show payments and COI submissions) that can be handed off to an overseas VA. On the marketing side, it owns copywriting and build-out of landing pages and funnels supporting show promotion, and helps expand show marketing beyond the current reliance on Meta ads and direct mail into new channels such as YouTube ads, TikTok ads, radio, TV, and SEO/AdWords, working alongside outside agencies to keep messaging and brand consistent.

Key Responsibilities


Show Booking & Admin (~10-15 hrs/week)

  • Handle email correspondence at the start of each day.
  • Research new show opportunities and screen them against profitability criteria (cost, expected traffic, historical show performance) before recommending a booking.
  • Maintain and update spreadsheets and documents, including budget docs and booked-show trackers.
  • Coordinate correspondence between internal reps and external show organizers.
  • Process payments for booking shows; electric, and necessary move-in accessories.
  • Conduct show research and maintain show notes, flagging shows with a history of underperformance.
  • Submit an end-of-week report covering shows researched, shows booked, and profitability status of recent events.
  • Perform regular document upkeep, entering show data into shared resources as it becomes available.
  • Identify booking/admin tasks that can be delegated to an overseas VA (e.g., show payments, COI submissions) and manage that VA once in place.


Marketing & Copywriting (~25-30 hrs/week)

  • Write and maintain landing pages and sales funnels supporting show promotion.
  • Write copy for email sequences, ads, handouts, and other marketing materials as needed.
  • Coordinate with outside direct mail and ad agencies to keep messaging, offers, and brand voice consistent across channels.
  • Support consolidation of company naming/branding across marketing materials.
  • Track and report on landing page and funnel performance (traffic, conversion rate).
  • Design and produce marketing collateral supporting seminars and trade shows (flyers, one-pagers, follow-up sequences) using Canva or a similar design tool.
  • Test and help launch new paid marketing channels for seminar promotion — YouTube ads, TikTok ads, radio, and TV — to reduce reliance on Meta ads and direct mail.
  • Support SEO and Google/AdWords efforts tied to seminar promotion.


Key Performance Indicators


Trade Show Booking

  • Number of events researched per month.
  • Number of events booked per month/quarter.
  • Percentage of booked events that were profitable, tracked against a target loss-rate ceiling, to keep the company from booking unprofitable trade shows.
  • Payment processing accuracy and timeliness.
  • Document/spreadsheet accuracy.


Marketing

  • Number of landing pages/funnels built or updated per month.
  • Volume of copy delivered on schedule (emails, ads, sales pages) per week.
  • Landing page/funnel conversion rate.
  • Turnaround time on marketing requests from leadership or agency partners.
  • Number of new marketing channels tested or launched per quarter (e.g., YouTube ads, TikTok ads, radio, TV, SEO/AdWords).


Qualifications / Key Competencies

  • Strong attention to detail for financial and spreadsheet accuracy.
  • Comfortable with high-volume email and cross-team correspondence.
  • Basic payment processing experience.
  • Proven copywriting ability, including sales copy, email sequences, and landing pages.
  • Experience building or editing landing pages and funnels (e.g., ClickFunnels, GoHighLevel, WordPress, or a similar platform).
  • Working knowledge of conversion-focused marketing and basic funnel strategy.
  • Basic graphic design skills; comfortable building marketing graphics in Canva or a similar design tool.
  • Trade show or event-booking experience is a nice-to-have, not required — the booking side of this role is intentionally straightforward; we are prioritizing marketing sharpness and initiative over booking background.
  • Hands-on experience with at least one paid channel beyond Meta ads/email — YouTube ads, Google ads, TikTok ads, SEO/AdWords — strongly preferred.
  • Slight leadership or management experience is a plus and may increase the compensation band.
  • Based in or willing to relocate to the Tampa, FL area; this is an in-office role.
  • Comfortable identifying delegable tasks and managing an overseas VA.


Expectations

  • Escalate declined payments or booking bottlenecks promptly.
  • Keep booking documentation current for leadership review.
  • Only recommend or book trade shows with a reasonable expectation of profitability; flag and avoid repeat-loss shows.
  • Build toward independent judgment on both show-pitching and marketing/copy decisions over time, maintaining a consistent brand voice across all materials.
  • Proactively identify and help test new marketing channels to diversify seminar promotion beyond Meta ads and direct mail.
  • Delegate routine booking/admin tasks to an overseas VA where appropriate, while retaining ownership of outcomes.
