Talos Technologies is a system integrator and OT-focused Managed Security Service Provider serving critical infrastructure clients across water and wastewater, oil and gas, power generation, and industrial manufacturing. We design, build, secure, and support the industrial control systems — SCADA, DCS, PLC, telemetry, and networking — that keep essential operations running. We're a small, technical team with a broad service lineup and a growing customer base across Colorado and beyond.

About the role

We're hiring our first dedicated Administrative & Operations Coordinator to bring order and momentum to how we run the business day-to-day. This is a broad, hands-on role with a clear path to grow. You'll start by supporting the founders on quotes, vendors, and client communication, and over time take ownership of the full administrative and operations side of Talos as we scale.
This job is mostly remote, with some on-site work required.

If you like being the person who makes a company run — the one who catches the missing PO before it becomes a problem, gets the quote out the door same-day, and remembers which vendor rep to call — this is the job. If you want a narrow, well-defined role in an established HR department, this isn't.

What you'll do

From day one, with training and oversight:

• Help prepare customer quotes and proposals: source pricing from distributors, build BOMs, apply our standard rates and markups, and format professional quote packages
• Manage vendor relationships across our partner ecosystem (Rockwell, Schneider, Fortinet, Ignition, Cisco, and 20+ others) — request pricing, track POs, chase lead times, resolve shipment issues
• Handle client-facing coordination: incoming calls and inquiries, meeting scheduling, quote follow-ups, contract and NDA routing, and insurance certificate requests
• Manage AP/AR: enter bills, code expenses, send invoices, follow up on receivables, coordinate with our outside accountant
• Own day-to-day office operations: supplies, shipping, equipment, credit card reconciliation, expense reports
• Maintain organized digital records: quotes, contracts, POs, project files, client and vendor contacts

As you grow into the role:

• Take primary ownership of the quoting process, with founder review on larger or more technical scopes
• Manage the full customer onboarding lifecycle: MSAs, W-9s, COIs, payment terms setup
• Run vendor management: track spend, negotiate terms, evaluate new partners
• Coordinate project logistics: scheduling technicians, permits, site access, materials staging
• Lead people operations as we hire: onboarding, benefits coordination, compliance
• Take on procurement, contracts, and light project management responsibilities

Longer term:

There is real upward mobility here. As Talos grows, this role can evolve into Operations Manager, Office Manager, or a specialized path in estimating, procurement, or project coordination — whichever fits your strengths and interests.

What we're looking for

• 2+ years in an administrative, operations, inside sales, estimating, or coordinator role — ideally at a small business, contractor, distributor, or MSP
• Strong written communication: you can draft a professional quote email, catch a mistake in a spec, and hold your own with a plant manager or purchasing agent
• Comfort with numbers: you can build a quote, reconcile an invoice, and spot when something doesn't add up
• Fluency with Microsoft 365 or Google Workspace, plus willingness to learn our accounting tool, CRM, and quoting workflow
• Discretion with confidential information (financials, personnel matters, client project details)
• A bias toward action and follow-through — you close loops without being asked
• Curiosity about industrial technology and cybersecurity — you don't need to know what a PLC is on day one, but you should want to learn

Bonus points

• Experience at an electrical contractor, MEP firm, industrial distributor, IT MSP, or automation integrator
• Familiarity with any of: Rockwell/Allen-Bradley, Schneider Electric, Ignition, Fortinet, Cisco, or similar industrial and networking vendors
• Experience with public sector / utility customer procurement (municipal water/wastewater, PO workflows, insurance certificate management)
• Basic accounting or bookkeeping (QuickBooks, Bill.com, or similar)
• Notary commission, or willingness to become one

Compensation and benefits

• Salary range: $60,000 – $85,000 per year, depending on experience
• Colorado paid sick leave and FAMLI benefits as required by state law
• starting at 15 days paid time off, plus paid federal and state holidays
• Mileage reimbursement for any client site visits
