Job description

SunStone Consulting is seeking an Administrative Assistant to provide professional administrative and operational support to senior managers, executives, and internal teams while helping ensure the efficient day-to-day functioning of the organization. This position is responsible for coordinating schedules, meetings, travel, events, sponsorships, office resources, vendor plans, records, reports and routine communications. This role also supports HR-related processes, including coordination of new hire orientation, onboarding and offboarding checklists, attendance and leaves of absence tracking. The ideal candidate is highly organized, detail-oriented, proactive, and able to manage multiple priorities while identifying opportunities to improve workplace efficiency, internal communications, and administrative processes.


Essential functions:

  • Assist senior managers and executives with daily administrative tasks.
  • Perform routine clerical duties, including filing, organizing electronic documents, answering phones, and responding to emails.
  • Schedule appointments, coordinate meetings, prepare agendas or supporting materials, and maintain calendars as needed.
  • Arrange travel, events, sponsorships, and related logistics.
  • Manage company mobile phone plans, including adding and removing users, reviewing bills for accuracy, and coordinating or negotiating pricing.
  • Order office supplies, equipment, and promotional materials for the company.
  • Manage the leased copier plan and coordinate related service, billing, and vendor communications.
  • Maintain accurate records, databases, files, and electronic documentation.
  • Prepare and track proposals for new and existing clients.
  • Review submitted time entries, expense entries, and receipts for completeness and accuracy. Enter time and expenses for contractors.
  • Generate routine, custom, and ad hoc reports from the time and billing system.
  • Coordinate new hire orientation and manage onboarding and offboarding checklists.
  • Assist with tracking attendance, leaves of absence, and updating PTO annual allotments in time keeping system.
  • Assist with planning and executing organization-wide meetings and client events.
  • Identify opportunities for operational improvement to enhance workplace efficiency, internal communications, and administrative processes.

  • Excellent organizational, prioritization, and time management skills with the ability to manage multiple deadlines and competing priorities.
  • Strong attention to detail and accuracy in records, reports, time entries, expenses, proposals, and vendor billing.
  • Professional written and verbal communication skills, including the ability to interact effectively with executives, employees, clients, vendors, and external partners.
  • Ability to handle confidential and sensitive information with discretion and professionalism.
  • Proficiency with Microsoft Office applications, electronic document management, databases, and time and billing systems.
  • Ability to coordinate meetings, travel, events, sponsorships, onboarding activities, and other administrative logistics.
  • Working knowledge of administrative operations, billing support, expense review, vendor coordination, and basic HR support processes.
  • Proactive problem-solving skills and the ability to identify opportunities to improve processes, efficiency, and internal communications.
  • Ability to work independently, exercise sound judgment, and collaborate effectively as part of a team.
  • Curiosity and willingness to learn new systems, processes, and tools that support organizational effectiveness.


 

Required Education and Experience:

  • High school diploma or equivalent required.
  • Minimum of three years of experience in an administrative assistant, executive assistant, office coordinator, or similar administrative support role.
  • Experience supporting senior managers or executives, including scheduling, meeting coordination, travel arrangements, document preparation, and routine communications.
  • Experience maintaining records, databases, electronic files, proposals, reports, or other business documentation with a high degree of accuracy.
  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, SharePoint, and Forms.
  • Experience reviewing invoices, expenses, time entries, vendor bills, or similar administrative records preferred.


Preferred/Desired Education and Experience: 

  • Associate or Bachelor’s Degree
  • Experience with SharePoint
