ADMINISTRATIVE ASSISTANT JOB SUMMARY
We are seeking an administrative professional to assist and support with day-to-day clerical operations such as filing paperwork, managing correspondence, answering phone calls, and maintaining organized records.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Maintaining accounts payable current balances:
  • Verify and enter Purchase Order and Invoices in company's accounts payable system.
  • Verify Job cost allocations
  • Interaction with vendors to update account balances, request credits, and/or required paperwork.
  • Assist end of month closing procedures, general ledger, and profit / loss reports
  • General Office Maintenance:
  • Cover reception area during business hours
  • Receive and provide general support to visitors
  • Exhibits polite and professional communication in person, phone, e-mail, and postal mail.
  • Answer and direct phone calls
  • Coordinate shipment of supplies
  • General office purchases
  • Maintain organized inner office procedures
  • Submit and reconcile expense reports
  • Draft and review outgoing correspondence
  • Draft and document Project Submittals and relevant documents.
  • Document all incoming and outgoing correspondence.
  • Respond to inquiries as required.
  • Assist in the preparation of invoices and reports
  • Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations.
EDUCATION
  • High school diploma or general education degree (GED) required.
PREFERRED SKILLS AND EXPERIENCE
  • A minimum of 1-3 years similar of similar Administrative Experience.
  • Strong communication and interpersonal skills.
  • Excellent computer skills (OUTLOOK, EXCEL, WORD, etc).
  • Experience with Construction or Roadway firms is not required, but a plus.
CONDITIONS OF EMPLOYMENT
  • Proficient computer/office skills (OUTLOOK, MICROSOFT, EXCEL, WORD, etc.)
  • Must pass a pre-employment criminal background check.
  • Must pass a pre-employment Drug and Alcohol Test
  • Must demonstrate eligibility to work in U.S.
