We are seeking a detail-oriented and organized Billing & Accounting Clerk to join our dealership team. This position is responsible for processing vehicle deals, billing transactions, maintaining accurate accounting records, and supporting the accounting office with daily financial operations. The ideal candidate has strong organizational skills, excellent attention to detail, and the ability to work efficiently in a fast-paced dealership environment.

Essential Job Duties

• Strip down new and used vehicle deals accurately and timely.
• Verify deal paperwork for completeness and compliance with dealership and lender requirements.
• processing trade-ins, payoffs, rebates, and related transactions into the dealership management system (DMS).
• Process title and registration documentation as needed.
• Reconcile schedules and customer deposits.
• Maintain accurate records for vehicle inventory and sales transactions.
• Assist with month-end closing procedures and account reconciliations.
• Scan and file accounting and deal documents electronically and physically.
• Communicate with sales staff, finance managers, lenders, customers, and DMV agencies regarding documentation.
• Support the Controller and accounting team with additional administrative and accounting tasks as assigned.

Qualifications

Required

• High school diploma or equivalent.
• 1-3 years of accounting, bookkeeping, billing, or dealership office experience.
• Strong attention to detail and accuracy.
• Excellent organizational and time management skills.
• Proficient with Microsoft Excel, Word, and Outlook.
• Strong written and verbal communication skills.
• Ability to maintain confidentiality and handle sensitive financial information.

Preferred

• Previous automotive dealership accounting experience.
• Experience with dealership management systems (CDK, Reynolds & Reynolds, Dealertrack, Tekion, or similar).
• Understanding of dealership accounting principles and vehicle titling processes.
