Advisor Support Associate

Location: NE Minneapolis, MN
Work Arrangement: Hybrid — Work from home with two days in the office each week, based on Advisor client meeting needs.

Job Summary

The Advisor Support Associate will provide centralized support to the practice’s six Financial Advisors and their clients, helping enhance the quality, consistency, and timeliness of the team’s service.

This role involves daily interaction with clients, vendor partners, and Financial Advisors in person, by email, and over the phone.

The Advisor Support Associate plays an integral role in supporting the ongoing client advisory process, coordinating client service and practice operations, and ensuring timely follow-up on client and Advisor requests.

This role also involves contributing to longer-term projects and process improvements that enhance the effectiveness and efficiency of the team and overall client experience.

Duties and Responsibilities

• Answer the main practice phone line and forward calls as needed.

• Manage and maintain the practice’s main email inbox and other shared inboxes as needed.

• Complete end-to-end new client onboarding, account updates, beneficiary changes, transfers, service requests, and related paperwork.

• Diligently track client requests, Advisor follow-up items, paperwork, and deadlines for broker-dealer and custodians.

• Digitally file client forms and compliance documentation in the Document Management System.

• Ensure accuracy and integrity of all client contact and demographic information in Salesforce (Practifi) CRM.

• Maintain and update the practice website and related digital content as needed.

• Help coordinate and facilitate the marketing and communications calendar.

• Help coordinate client gifting, client education, and appreciation events, including logistics and client communications.

• Assist in organizing, maintaining, and updating all SharePoint files.

• Assist with branch compliance review preparation where the role dictates.

• Work extensively with Microsoft Office Suite, Schwab Advisor Center, Salesforce (Practifi) CRM, Broker-Dealer, Adobe Acrobat, and practice-specific systems and platforms.

• Monitor assigned tasks and workflows in Salesforce (Practifi) CRM.

• Open and process incoming and outgoing mail.

• Be in the office twice a week, with days determined by Advisor client meeting needs.

• Order and maintain office supplies.

• Follow requirements outlined in the Employee Handbook.

• Demonstrate flexibility and productivity while working both remotely and from the office.

• Provide backup support as needed for all team members.

• Share new ideas and suggestions for improving team processes and the client experience.

Qualifications

• Bachelor’s degree required.

• 2–3 years of experience in the financial services industry preferred but not required.

• Highly proficient in Microsoft Office; experience with financial industry software is a plus.

• Excellent communication, organizational, and interpersonal skills, including integrity, humility, respect, empathy, and a healthy sense of humor.

• Ability to work independently while also being a proactive and contributing team member.

• Strong attention to detail and ability to follow through on projects effectively.

• Comfortable taking ownership of details and recognizing when something is missing.
