Job description

Picht & Sons is looking for a Real Estate Assistant who can help keep the everyday details of our real estate business organized. This isn't a position where you'll spend the entire day doing the same administrative task. One morning may involve preparing paperwork for a new listing, while the afternoon could be spent coordinating a showing, checking on an inspection, or following up on documents needed for a closing.


We need someone dependable who notices what's missing and takes care of it before it slows down a transaction.


Day-to-Day Work


  • Assist agents with new listings, property information, photos, documents, and marketing materials.
  • Schedule property showings, inspections, appointments, and closing-related activities.
  • Keep transaction files organized from listing or offer through closing.
  • Communicate with buyers, sellers, agents, lenders, inspectors, title companies, and other parties when information or documents are needed.
  • Prepare routine real estate forms and correspondence for agent review.
  • Update property listings and make sure information such as pricing, availability, and property details stays accurate.
  • Follow up on signatures, inspection reports, disclosures, and other outstanding paperwork.
  • Help agents stay on top of important transaction dates and deadlines.
  • Answer calls and inquiries and make sure messages reach the right person.
  • Provide general office support when the real estate or property management team needs an extra hand.


What We're Looking For


  • Previous experience in real estate, property management, an administrative office, or a similar environment is preferred.
  • Someone organized enough to keep several transactions moving without mixing up the details.
  • Clear and professional communication by phone and email.
  • Comfortable working with documents, calendars, spreadsheets, and real estate software.
  • Good follow-through and the confidence to ask questions when something doesn't look right.
  • Knowledge of the Tallahassee real estate market is helpful.
  • A Florida real estate license is a plus but not required for administrative duties that do not require licensure.
