Job description
- Serve as a key liaison between the Programs amp; Impact (P amp;I) team and the Fiscal Services team on matters related to fiscal management, including budgeting, procurement, and grants administration.
- Ensure alignment of all P amp;I department activities with the Center’s Fiscal Policies amp; Procedures.
- Use appropriate technology (expense management systems, budgetary/accounting systems) to track and steward expenditures and other fiscal activity of the P amp;I team.
- Assist in grant applications and grant reporting.
- Manage relationships with external vendors and service providers to ensure quality services are delivered in a cost-effective manner. Negotiate contracts and agreements to optimize value and minimize risks.
- Develop, enhance, implement, and enforce policies and procedures to improve the overall effectiveness of the Programs amp; Impact team, including systems to support compliance with all federal, state, and local codes and grants.
- Support and coordinate efforts around key organizational audits by various funders, including Office of Head Start, the Chicago Department of Family amp; Support Services, IL Department of Human Services, etc.
- Ensure operational readiness for external monitoring reviews, audits, and compliance assessments by maintaining strong internal processes, documentation standards, and cross-department coordination.
- Direct and manage internal teams and workflows on strategic initiatives and priorities.
- Manage cross-functional project groups, including projects dedicated, but not limited to, grants, budget planning, programmatic expansion, or departmental events.
- Add structure and processes for strong communication across the P amp;I leadership team and throughout the organization.
- Ensure consistency and high quality in Programs amp; Impact communications to various audiences, including staff, families, the Board of Directors, public and private funders, and any other key groups.
- Serve as a key support and trusted thought partner for the Chief Programs amp; Impact Officer’s workflows and communications, including by supporting and tracking key correspondence.
- Maintain the highest level of confidentiality regarding sensitive matters.
- Act as a key point of contact for the Chief Programs amp; Impact Officer’s other direct reports.
- Support staffing of the Programs amp; Impact Committee of the Board and preparation for Board and/or Policy Council meetings.
- Disseminate information and communicate ideas on behalf of the Chief Programs amp; Impact Officer.
- Respond on behalf of the Chief Programs amp; Impact Officer to issues that arise, both internal and external.
- As appropriate, help strategically manage the Chief Programs amp; Impact Officer’s time: look at meetings/opportunities and help assess fit against priorities.
- Facilitate continuity and promote decision-making of operational progress by coordinating actions, facilitating decisions and advancing initiatives aligned with the direction of the Chief Programs amp; Impact Officer.
- Bachelor’s degree in Business Administration/Operations, Nonprofit Management, or related field; advanced degree preferred.
- Minimum of 5 years of leadership experience in an administrative leadership role, preferably in the nonprofit sector.
- Strong understanding of administrative operations, budgeting, and compliance.
- Demonstrated familiarity and working knowledge of the early childhood education and/or youth development fields, particularly related to key funders and compliance requirements, preferred.
- High level of expertise in utilizing technology to ensure organizational efficiencies; experienced in the use of MS Office Suite as well as web-based platforms; experience with fiscal/expense management software and/or childcare management software a plus.
- Proven ability to lead change, encourage innovative thinking, and deliver meaningful organizational results.
- Experience managing budgets, vendor relationships, and cross-functional teams.
- Strong analytical and critical thinking skills with the ability to evaluate complex situations and develop strategic, solutions-oriented approaches.
- Highly effective leadership, interpersonal and communication skills including written and verbal; ability to present effectively to a wide variety of audiences.
- Demonstrated integrity, credibility, and commitment to the Center’s mission; combined with a proactive, hands-on approach and strong strategic thinking.
- Standing for moderate amounts of time, as well as stooping and squatting.
- Must be able to walk and kneel.
- Visual and auditory acuity within professionally determined normal ranges, with correction if needed; and manual dexterity sufficient to operate a computer and office equipment, including, but not limited to, the telephone, computer, and copier.
