Job description

Provide administrative support to the Human Resources team with day to day operations specific to the areas of data and file management which includes data entry, maintaining associate files and HRIS system. Assist with recruitment, employee relations activities, benefits activities, training activities, and internal communication pieces. Provides clerical and administrative support to the Human Resources department and internal/external guest-focused support to the organization. Must be able to work with moderate supervision and be well organized.

To perform this job successfully, the incumbent will possess the abilities or aptitudes to perform each duty proficiently. Some requirements may exclude individuals who pose a direct threat or significant risk to the health and safety of themselves, other employees or guests.
SKILLS AND QUALIFICATIONS:
Essential:
  1. Must be fluent in both English and Spanish
  2. Basic understanding of Human Resource principles.
  3. Excellent communication skills, written and oral.
  4. Solid computer skills with MS Office (Word, Excel, PowerPoint, Publisher, G-suites).
  5. Ability to multi-task and prioritize projects and assignments.
  6. Professional demeanor.
  7. Ability to keep sensitive departmental issues confidential.
  8. Clear understanding of customer/guest service.
  9. Well organized.
  10. Ability to perform assigned tasks with attention to details.

Desirable:
  1. At least one year of Human Resources experience.
  2. Previous experience, preferably in a service oriented industry and or capacity.
  3. Previous experience with Ceridian.

ESSENTIAL JOB FUNCTIONS:

  1. Provide department managers with administrative support as requested.
  2. Perform general front desk/reception duties: handle in-coming calls, take messages, meet and greet visitors and OVI employees.
  3. Capable of relating and interacting with individuals of all levels. As unique situations present, be sensitive to corporate needs, employee goodwill & the public image.
  4. Keep up with maintenance of HRIS System.
  5. Purchase, stock, and maintain office supplies and materials.
  6. Prepare reports, internal communication pieces, materials for presentations and or distribution, as well as standard forms for in-house meetings.
  7. Assist with employee relations, training, benefits, and recruitment activities both on/off site.
  8. Respond to requests for reference checks on previous associates according to OVI policy as well as State and Federal guidelines.
  9. Provide general information on all Human Resources programs including benefits, associate privileges, recruitment, activities and all other OVI established policies and procedures.
  10. Assist with participant packets and or materials as needed (orientation, training, recruitment, benefits) and maintain stock of all employee information.
