Job description

About the Position

We are looking for a highly organized, detail-oriented Design & Architectural Coordinator to join our residential homebuilding team.

This position will play an important role in building, organizing, and implementing the processes that support our Design Department. Once design selections and direction are established, this person will be responsible for taking that information and creating the workflows, documentation, coordination, and follow-through needed to move each project efficiently through the design phase and into construction.

The ideal candidate is process-oriented, design-minded, highly organized, and comfortable working between interior design, architecture, and residential construction. They should enjoy creating structure, improving workflows, coordinating information between teams, and making sure details do not fall through the cracks.

This is a great opportunity for someone with a background in interior design, architecture, architectural drafting, residential construction, or a related field who wants to work in a fast-paced custom homebuilding environment and have an active role in developing and improving design processes.

Key ResponsibilitiesDesign Process & Selections
  • Develop, organize, and implement repeatable processes for the design phase, from completed selections through documentation, coordination, approvals, and project start.
  • Take established design selections and direction and turn them into organized, polished, client-ready selection boards and documentation.
  • Create workflows, checklists, templates, and tracking systems to ensure design information is complete, accurate, and communicated to the appropriate team members.
  • Organize and document selections for flooring, tile, countertops, cabinetry, plumbing fixtures, lighting, hardware, paint, appliances, and other interior finishes.
  • Research products, vendors, materials, pricing, availability, lead times, and specifications.
  • Maintain accurate records of product information, SKUs, colors, finishes, pricing, and other relevant specifications.
  • Coordinate revisions and updates to selections as projects develop.
  • Assist in preparing client-facing design presentations and selection packages.
  • Maintain organized digital files, design libraries, and project documentation.
  • Establish and maintain standardized design documentation so projects follow a consistent process.
  • Identify gaps, inefficiencies, or areas of confusion in the current design workflow and help develop practical solutions.
  • Help create systems that improve organization, communication, accountability, and efficiency within the Design Department.
Architectural & Construction Coordination
  • Review architectural drawings and documents for basic design, finish, and coordination issues.
  • Coordinate design information between the Design Department, architects, vendors, and construction team.
  • Communicate design information, selections, revisions, and requirements to the appropriate team members.
  • Assist with identifying discrepancies between selections, architectural drawings, specifications, and project documentation.
  • Help ensure that design decisions are accurately reflected in the appropriate project documents.
  • Track outstanding design-related items and follow up with the appropriate parties to keep projects moving.
  • Provide general architectural and design coordination support as needed.
HOA & Project Administration
  • Prepare and submit HOA architectural review packages.
  • Gather required drawings, specifications, color selections, site information, and other documentation required for HOA submissions.
  • Track HOA submissions, approvals, comments, revisions, and deadlines.
  • Communicate with HOAs regarding submission requirements, questions, comments, and project status.
  • Coordinate HOA revisions with architects and the internal team.
  • Prepare and maintain project start reports and other documentation required to move projects into construction.
  • Track important project information, deadlines, approvals, outstanding items, and required deliverables.
  • Help develop standardized checklists and procedures for HOA submissions and project starts.
QualificationsRequired
  • 2+ years of experience in interior design, architecture, residential construction, architectural drafting, or a related field.
  • Strong understanding of residential interiors, finish materials, and architectural documentation.
  • Excellent organizational and communication skills.
  • Strong attention to detail and ability to manage multiple projects and deadlines simultaneously.
  • Ability to read and understand residential floor plans, elevations, and architectural drawings.
  • Strong computer skills and proficiency with Microsoft Office.
  • Ability to create polished presentations, selection boards, and professional project documentation.
  • Ability to take direction and turn it into an organized, repeatable process.
  • Strong problem-solving skills and the ability to identify what needs to happen next without constant direction.
Preferred
  • Experience working for a residential builder, architecture firm, interior design firm, or construction company.
  • Experience with SketchUp, AutoCAD, Revit, Canva, Adobe Creative Suite, or similar design software.
  • Experience with HOA submissions and architectural review processes.
  • Knowledge of residential construction, building materials, and construction documentation.
  • Experience working with vendors, product specifications, pricing, and material selections.
  • Experience creating or improving workflows, checklists, templates, or project management systems.
The Ideal Candidate

We are looking for someone who is:

  • Highly organized and detail-oriented
  • Process-oriented and naturally good at creating structure
  • Design-minded with a strong eye for color, materials, and finishes
  • Comfortable working with architectural drawings and residential construction
  • A strong communicator and team player
  • Proactive and able to work independently
  • Comfortable managing multiple projects, deadlines, and competing priorities
  • Tech-savvy and willing to learn new software and systems
  • Able to take direction and turn it into polished, professional work
  • A strong problem solver who looks for solutions rather than waiting for instructions
  • Comfortable following up with others and keeping projects moving
  • Interested in residential architecture, interiors, and homebuilding
  • Someone who enjoys creating systems and improving the way a team works
Important Note About the Role

This position is primarily focused on executing, coordinating, and building the process around the design direction established by the Design Manager/lead designer.

The successful candidate does not need to be the person making the overall design decisions. Instead, they will be responsible for turning established design decisions and selections into an organized, repeatable process that includes selection boards, documentation, architectural coordination, HOA submissions, project starts, and communication with the appropriate teams.

We are looking for someone who can take direction, create structure, identify what needs to happen next, develop systems, and ensure that the design process is organized and consistently carried through each project.

The goal is not simply to complete individual tasks, but to help build a design process that is organized, repeatable, efficient, and scalable as our company grows.
