Position Overview

The Patient Care Coordinator and Optical Technician is a multi-faceted role designed for complete immersion in clinical, administrative, and optical operations. Key Responsibilities

Administrative & Patient Services:

Serve as the first point of contact for patients, both in person and over the phone, providing a warm and welcoming atmosphere.

Manage high-volume phone coverage and coordinate patient scheduling for eye exams, medical consultations, and vision therapy sessions.

Facilitate the patient check-in/check-out process and oversee patient communications via the Weave platform.

Manage patient records with accuracy and confidentiality, adhering to HIPAA and clinic policies.

Educate patients about the clinic's services, vision therapy programs, and post-treatment care instructions.

Proactively manage the waitlist by verifying accuracy and reaching out to patients for earlier appointment opportunities.

Insurance & Financial Coordination:

Perform comprehensive insurance verification and provide clear explanations of out-of-pocket estimates to patients.

Assist patients with insurance queries and guide them through the billing process.

Accurately manage patient accounts, including the collection of the estimated patient responsibility as determined by the insurance coordinator's assessment.

Assist with accounts receivable and the collection of outstanding balances.

Optical, Clinical & Technical Support:

Conduct diagnostic testing and assist providers (optometrists and vision therapists) with diagnostic testing as trained.

Provide technical assistance with contact lens insertion, removal, and training.

Assist with optical and contact lens dispensing and necessary adjustments.

Assist with inventory management and ordering supplies for both the clinic and vision therapy programs.

Track therapy milestones and ensure availability of vision therapy-specific resources such as pamphlets, exercises, and therapeutic tools.

Sales & Admissions:

Drive contact lens sales and manage the Marlo admission process.
