Job description

As our business expands, we're looking for a driven and organized Operations Coordinator to support our operation.

Job Summary:

The position is responsible for overseeing the full execution of projects from post-sale through completion, ensuring accurate order processing, cost control, logistics coordination, installation profitability, and exceptional client satisfaction. This role drives operational efficiency, revenue optimization, and quality assurance while supporting business objectives and growth.

Key Responsibilities:

• Coordinate the full project lifecycle including order verification, logistics, deliveries, installation coordination, issue resolution, and final project acceptance.

• Serve as primary point of contact for clients and internal teams throughout the post-sales project execution.

• Deal with all international/domestic vendors to confirm orders and follow strict documentation, order validation, and vendor communication.

• Work closely with Sales, Production, and Installation teams to ensure seamless execution and on-time delivery.

• Prepare and process all change orders and billing transactions with Accounting Dept.

• Organize all delivery types related logistics.

• Respond promptly to urgent operational matters, providing client/vendor support beyond scheduled hours when needed.

• Support service requests and post-sale operations to ensure timely and successful closeout.

• Conduct ongoing review of operational workflows to elevate quality, accuracy, and customer satisfaction.

Qualifications:

• Bachelor’s degree in Business Administration, Operations, Project Management, or related field (preferred)

• 3+ years of experience in operations, logistics, or project management; experience in construction, custom design, manufacturing, or similar industry a plus

• Strong financial, accounting, and analytical skills, including margin management

• Demonstrated ability to manage multiple projects simultaneously while meeting deadlines

• TEAM player with excellent communication, negotiation, and problem-solving skills

• Proficiency in project management systems and ERP/CRM platforms (e.g., Monday.com, or similar)

• Reliable transportation required

• Bilingual: English/Spanish

Physical Requirements:

• Ability to sit or stand for extended periods

• Occasionally lift and move materials up to 25 lbs.

• Ability to visit job sites, warehouses, and client locations as needed
