Job description

MornstAir is seeking a highly organized and proactive Bilingual Administrative Coordinator to support our growing operations in Phoenix, AZ.

In this role, you'll serve as a central point of coordination across fleet operations, facilities, employee services, housing logistics, vendor management, and company-wide administrative initiatives. You'll collaborate with multiple departments to ensure day-to-day operations run efficiently while providing exceptional support to our bilingual (Mandarin/English) workforce.

This is an excellent opportunity for someone who enjoys variety in their work, thrives in a fast-paced environment, and enjoys solving problems while keeping operations organized.

What You'll Do

  • Manage the company's fleet program, including vehicle maintenance, registrations, insurance, driver records, safety compliance, and incident coordination.
  • Coordinate employee housing operations, including leases, move-ins/move-outs, inspections, insurance, and vendor relationships.
  • Support E2 employees relocating to the U.S. by assisting with onboarding tasks such as Social Security, banking, driver's licenses, and general administrative support.
  • Oversee office, warehouse, and jobsite facilities by coordinating maintenance, repairs, utilities, inspections, and vendor services.
  • Manage company-owned equipment, including maintenance scheduling, repairs, warranties, and inventory tracking.
  • Process vendor invoices, maintain receipt documentation, support general ledger reconciliation, and issue project-related invoices.
  • Coordinate office administration, including business cards, mail services, office supplies, key management, phone systems, and petty cash.
  • Plan company events, team-building activities, meetings, and catering while supporting cross-functional operational initiatives.
  • Develop and maintain operational policies, workflows, and documentation to improve efficiency and compliance.
  • Perform business errands and transportation support as needed, including occasional airport pickups for employees or visitors.

What We're Looking For

  • Bachelor's degree or equivalent combination of education and relevant work experience preferred
  • 2+ years of experience in administrative coordination, office operations, facilities, operations, or a related field
  • Fluent in both Mandarin and English (written and verbal)
  • Valid driver's license and willingness to drive for business-related needs
  • Excellent organizational skills with strong attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong interpersonal and communication skills
  • Proficiency with Microsoft Office (Excel, Word, PowerPoint)
  • Experience with workflow or project management tools is a plus

The standard work schedule is Monday through Friday, from 9:00 AM to 5:00 PM, including a one-hour lunch break each day. Please note that this schedule is flexible and may be subject to change based on the employee and employer’s needs.
