ASSISTANT PROPERTY MANAGER

JOB SUMMARY

The Assistant Property Manager supports the Property Manager in the daily operations of a commercial real estate portfolio. This role is responsible for assisting with lease administration, financial reporting and budgeting, tenant relations, vendor and contract management, and building operations, and requires strong organizational skills, sound judgment, and the ability to manage multiple priorities in a fast-paced environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES

• Assist in the preparation and administration of annual operating budgets, CAM reconciliations, and monthly variance reports.
• Review and process invoices; coordinate with accounting on accounts payable/receivable and monitor tenant delinquencies.
• Support lease administration, including abstracting lease terms, tracking critical dates (renewals, expirations, options), and maintaining lease files.
• Coordinate vendor contracts and service agreements; solicit competitive bids and monitor vendor performance and compliance.
• Conduct regular property inspections and coordinate maintenance and capital improvement projects with building engineering staff.
• Serve as a primary point of contact for tenants; respond to service requests and help resolve tenant concerns promptly and professionally.
• Assist with tenant move-ins and move-outs, including unit walkthroughs and coordination with building operations.
• Assist in preparing monthly, quarterly, and annual property reports for ownership and clients.
• Support risk management, life safety, and emergency preparedness programs.
• Help ensure compliance with lease terms, building rules and regulations, and applicable laws.
• Perform other duties as assigned by the Property Manager or senior management.

QUALIFICATIONS – To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

EDUCATION/EXPERIENCE – Associate's or Bachelor's degree strongly preferred; advanced degree a plus. Industry accreditation and/or designation (e.g., CPM, RPA, CCIM) also preferred. Minimum of three (3) years of commercial real estate or property management experience, including budget preparation and financial reporting, familiarity with building systems, and lease negotiation, documentation, and administration. Must obtain the required real estate license in the applicable jurisdiction (e.g., salesperson license or property management license) within the timeframe required by the employer.

COMMUNICATION SKILLS – Ability to read, analyze, and interpret legal documents (lease documents, claims of lien, etc.), general business periodicals, professional journals, technical procedures, and government regulations. Ability to produce well-written reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from senior management, clients, tenants, vendors, peers, and the general public.

MATHEMATICAL SKILLS – Ability to calculate figures and amounts such as discounts, interest, commissions, prorations, percentages, and basic measurements of rent, parking fees, and late fees. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations. Ability to analyze, interpret, and explain financial statements and calculate dollar and percentage variances. Strong financial and accounting acumen, including a clear understanding of cash and accrual accounting procedures.

REASONING ABILITY – Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret and respond to a variety of instructions furnished in written, oral, diagram, or schedule form. Strategic thinker with a strong implementation orientation.

OTHER SKILLS AND ABILITIES – Proficient in Microsoft Office/365 and any other software or technology used for budgeting or accounting, or as requested by the client. Working knowledge of common property management/budgeting applications (e.g., Yardi, MRI, or similar).
