Masterpiece Signs & Graphics

Masterpiece Signs & Graphics, Inc. is seeking an Office Manager. Position is full-time. Responsibilities include, but are not limited to, greeting clients, answering phones, data entry to include accounts payable/receivable. Position requires excellent written and oral communication skills; organizational skills and attention to detail; motivation to learn and grow with the company. Qualification skills include QuickBooks; Microsoft Office; 3-5 years experience; 2 yr. degree desired but not required.

Office Manager duties:

• Answer phone (screen and direct calls)
• Greet customers and direct them to the appropriate person
• Complete transactions when clients come to pickup finished goods (take the money, deliver the product)
• Enter data into QuickBooks (invoices, CC receipts, accounts receivable, etc.)
• Pay bills from QuickBooks
• Create word documents, such as letters, contracts, and policies, upon request
• Create dynamic spreadsheets upon request
• Appointment scheduling
• Enter data into various spreadsheets as “Jobs” are turned in.
• Manage and keep on top of accounts receivable
• Edit and organize digital photos
• Help with reconciliations of books
• Sales (Minimal) in the event that key people are unavailable, the AA needs to be able to give customers at least some basic info and direction
• Manage paperless document system
• Maintain (and sometimes create) an organizational work flow for documentation and office related items
• Light HR duties, mainly the paperwork associated.
• Any other duties that are asked of them as time progresses
