JOB TITLE: Associate Director of Enrollment

REPORTS TO: Vice President of Enrollment & Student Success

FLSA STATUS: Exempt

PURPOSE:
The Associate Director of Enrollment supports the seminary college’s mission by helping attract, engage, admit, and enroll students who are discerning a call to theological education, ministry, service, and leadership.

ROLES & RESPONSIBILITIES:

• Along with the VP of Enrollment & Student Success, conduct market research and implement recruitment strategies to schools, churches, and partner organizations in targeted recruitment markets
• Along with the VP of Enrollment & Student Success, collaborate with other Seminary offices (faculty/departments, alumni, and more) to engage prospective students & partner organizations recruitment pipelines
• Plan on-campus & online informational experiences for individual prospective students
• Plan on-campus visit day experiences for groups of prospective students & campus/church stakeholders with whom we seek partners
• Conduct recruitment travel to targeted markets and events throughout the year
• Guide applicants through the application processes to enrollment
• Serve as a point of contact for academic departments in the committee review of applications
• Prepare Weekly Admission Reports to the VP of Enrollment & Student Success
• Manage Admissions personnel & student workers
• Coordinate with Financial Aid and Registrar on related enrollment process needs, as directed by the VP of Enrollment & Student Success
• Commitment to and work toward increasing racial, cultural, and ecumenical diversity in student recruitment and enrollment
• Other duties and responsibilities as assigned by the VP of Enrollment & Student Success

Enrollment Strategy and Recruitment

• Assist in developing and implementing annual recruitment and enrollment plans that support institutional enrollment goals, program priorities, and mission alignment.
• Manage assigned recruitment territories, populations, academic programs, or student pipelines, including prospective students from churches, ministries, undergraduate institutions, partner organizations, and denominational networks.
• Represent the seminary college at recruitment events, seminary fairs, church gatherings, conferences, graduate school fairs, campus visits, webinars, and other outreach opportunities.
• Build and maintain relationships with pastors, ministry leaders, alumni, faculty, denominational partners, undergraduate advisors, and other influencers who may refer prospective students.
• Use enrollment data and recruitment trends to identify opportunities, monitor progress, and recommend adjustments to recruitment strategies.

Prospective Student Engagement and Admissions Counseling

• Guide prospective students through the inquiry, discernment, application, admission, and enrollment processes with timely, accurate, and pastorally attentive communication.
• Conduct individual consultations with prospective students to discuss academic programs, vocational goals, ministry interests, admissions requirements, financial considerations, and next steps.
• Provide clear information about degree, certificate, non‑degree, online, hybrid, and residential program options, as applicable.
• Collaborate with Financial Aid, Student Services, Registrar, Academic Affairs, and faculty to support a seamless transition from applicant to enrolled student.
• Maintain consistent follow‑up with inquiries, applicants, admitted students, and deposited students to encourage completion of key enrollment milestones.

Application and Enrollment Operations

• Support application review processes by ensuring application files are complete, accurate, and ready for evaluation by appropriate reviewers or committees.
• Monitor applicant progress, identify barriers to completion, and coordinate timely follow‑up to secure missing materials.
• Maintain accurate records in the institution’s CRM, student information system, and related enrollment platforms.
• Generate, review, and interpret enrollment reports, dashboards, and funnel metrics to support decision‑making and outreach priorities.
• Ensure enrollment communications, forms, workflows, and records comply with institutional policies and applicable privacy requirements.

Events, Communications, and Campus Visit Programs

• Plan, coordinate, and participate in recruitment events, open houses, preview days, information sessions, virtual events, and admitted student experiences.
• Coordinate individualized campus visits, meetings with faculty or staff, class visits, chapel participation, student panels, and follow‑up communications.
• Partner with Marketing and Communications to develop or refine enrollment messaging, email campaigns, print materials, website content, social media messaging, and event promotion.
• Review enrollment content regularly to ensure accuracy, accessibility, consistency, and alignment with current academic offerings and institutional mission.
• Support storytelling efforts that communicate the value of theological education and the seminary college’s distinct community, formation, and learning experience.

Collaboration and Institutional Support

• Serve as a collaborative member of the enrollment team, contributing to team planning, recruitment strategy, process improvement, and goal achievement.
• Participate in admissions committee meetings, enrollment strategy discussions, and cross‑functional projects related to recruitment, retention, student success, and institutional growth.
• Provide training, guidance, or coordination for student ambassadors, student workers, volunteers, or other enrollment support roles, as assigned.
• Demonstrate commitment to the seminary college’s theological identity, mission, values, and standards of hospitality and service.
• Perform other duties as assigned in support of enrollment management and institutional priorities.

REQUIREMENTS:

• Bachelor's degree required; master's degree in higher education, student affairs, ministry, theology, communications, business, or a related field preferred.
• A minimum of two years of admissions and/or recruitment‑related experience
• A commitment to theological education and vocational formation for preparation for ministry and community impact
• Energy and imagination, excellent relational skills, and a desire to support prospective students

Knowledge, Skills, and Abilities

Knowledge

• Knowledge of higher education recruitment, admissions, enrollment management, and student engagement practices.
• Understanding of theological education, seminary formation, ministry preparation, church leadership, or faith‑based higher education environments.
• Knowledge of graduate admissions processes, application requirements, enrollment funnels, and student lifecycle milestones.
• Familiarity with CRM systems, student information systems, reporting tools, and digital communication platforms.
• Awareness of best practices in inclusive recruitment, student support, customer service, and relationship‑based enrollment counseling.

Skills

• Strong interpersonal, listening, advising, and relationship‑building skills.
• Excellent written and verbal communication skills, including the ability to communicate with prospective students, faculty, church leaders, alumni, and institutional partners.
• An exceptional level of organizational skills and detail management
• Skill in using data to prioritize outreach, assess recruitment effectiveness, and support enrollment decisions.
• Proficiency with Microsoft Office, CRM platforms, virtual meeting tools, and digital communication systems.
• Ability to present effectively in one‑on‑one, small group, virtual, and public settings.
• Strong organizational and planning skills, with experience overseeing complex processes and multi‑phase projects.
• Familiarity with current enrollment management trends & marketing technology

• Ability to travel periodically and work occasional evenings or weekends for recruitment events, campus visits, conferences, or church‑related activities.

Working Conditions

• Regular office or remote work environment with frequent computer, phone, video conferencing, and CRM use.
• Periodic travel may be required for recruitment, church engagement, conferences, fairs, and partner visits.
• Occasional evening and weekend work may be required for recruitment events, campus visits, and enrollment deadlines.
• Must be able to communicate clearly, represent the institution professionally, and maintain confidentiality of student and institutional information.
