Job description

We are seeking an experienced Executive Administrative Assistant to support the Chief Operating Officer of a growing organization. This is a high-visibility role for a polished, proactive professional who can operate as a trusted partner to senior leadership.


This is not a traditional calendar-heavy EA position. The ideal candidate will have a strong business mindset and the ability to work cross-functionally, manage projects, coordinate priorities, and keep initiatives moving forward.


The right person will be highly organized, comfortable working with senior executives, and naturally proactive — someone who anticipates needs, follows through, and looks for ways to make the executive and organization more effective.


Responsibilities:


  • Provide high-level administrative and operational support to the COO
  • Manage a complex calendar, meetings, travel, and executive priorities
  • Coordinate travel, site visits, meetings, and logistics
  • Track projects, action items, deadlines, and follow-ups
  • Coordinate cross-functional initiatives and special projects
  • Prepare presentations, reports, meeting materials, and correspondence
  • Serve as a liaison between the COO and internal and external stakeholders
  • Anticipate needs and proactively resolve scheduling, communication, and operational challenges
  • Maintain confidentiality and discretion with sensitive information
  • Provide occasional flexibility outside of normal business hours and during executive travel


Qualifications:


  • 5+ years of Executive Assistant experience supporting senior or C-level leadership
  • Experience working in a fast-paced, high-expectation environment
  • Strong project coordination or project management skills
  • Ability to work cross-functionally and manage multiple priorities
  • Exceptional attention to detail and follow-through
  • Excellent written and verbal communication skills
  • Strong executive presence, professionalism, and emotional intelligence
  • Highly proactive and comfortable working independently
  • Proficiency with Microsoft Office, Outlook, Teams, and related systems
  • Demonstrated career stability
