Job description

We are recruiting for an experienced Executive Assistant to join a fast-growing, venture-backed business in Brooklyn. This is an exciting opportunity to support the CEO and Chief of Staff, playing a key role in the day-to-day operations of a rapidly expanding organisation.


The successful candidate will be highly organised, proactive, and confident managing multiple priorities in a fast-paced environment. This role offers excellent exposure to senior leadership and the opportunity to grow as the business continues to scale.


Key Responsibilities

  • Manage the calendars and inboxes of the CEO and Chief of Staff.
  • Draft and manage professional correspondence on behalf of senior leadership.
  • Coordinate communications between clients and coaches, scheduling introductions and sharing relevant information.
  • Manage invoices and payment processes, including issuing invoices, following up on outstanding payments, and processing coach payments.
  • Plan and coordinate monthly events, including travel arrangements, venue bookings, and guest lists.
  • Maintain accurate CRM records and organise business documentation.
  • Provide general administrative support and assist with ad hoc operational tasks.


Requirements

  • 3–5+ years' experience as an Executive Assistant or in a similar role.
  • Previous experience within a startup or high-growth business is highly desirable.
  • Excellent written and verbal communication skills.
  • Strong organisational skills with exceptional attention to detail.
  • Able to work independently and manage competing priorities with minimal supervision.
  • Experience using CRM systems (Attio experience would be advantageous).
  • Must be based in, or willing to relocate to, New York City.
  • Able to work from the Brooklyn office five days per week.
  • Stable employment history with no consistent pattern of short-term positions.
