Role Description The Administrative Assistant is a full-time, on-site role based in Chicago, IL, supporting daily office operations and logistics teams. Responsibilities include managing calendars, scheduling meetings, preparing documents and reports, and maintaining organized filing systems (both electronic and paper). The role involves answering and directing phone calls, greeting visitors, coordinating travel arrangements, and handling routine correspondence. The Administrative Assistant will also support executives with administrative tasks, assist with data entry, track departmental records, and collaborate with team members to ensure smooth office workflow. This position requires attention to detail, professionalism in all communications, and the ability to manage multiple tasks in a fast-paced environment.
Qualifications
  • Strong Administrative Assistance and Clerical Skills, including scheduling, filing, document preparation, and data entry.
  • Professional Phone Etiquette and Communication skills for interacting with internal teams, clients, and vendors.
  • Experience providing Executive Administrative Assistance, including calendar management and meeting coordination for leadership.
  • Proficiency with office software (e.g., Microsoft Office or similar tools) and basic knowledge of office equipment.
  • Ability to prioritize tasks, manage time effectively, and maintain confidentiality with sensitive information.
  • High school diploma or equivalent; post-secondary education or administrative certification is a plus.
  • Prior experience in logistics, transportation, or corporate office environments is beneficial.
