Role Description The Office Administrator is a full-time, on-site role based in Long Beach, CA, responsible for ensuring smooth day-to-day office operations. This role manages front desk activities, answers phones and emails, greets visitors, and supports internal teams with scheduling, document preparation, and data entry. The Office Administrator coordinates office supplies and equipment, maintains organized filing systems (digital and physical), and assists with basic bookkeeping tasks such as invoice tracking and expense reports. The position also handles internal and external correspondence, supports customer service inquiries, and helps prepare materials for meetings and reports. Collaboration with management and other departments is essential to anticipate needs, resolve issues promptly, and maintain a professional, welcoming workplace environment.

Qualifications

  • Candidates should possess strong Office Administration and Administrative Assistance skills, including organizing schedules, handling documentation, and supporting daily operational tasks.
  • Candidates should be comfortable working with Office Equipment, such as printers, scanners, phone systems, and basic office technology tools.
  • Candidates should demonstrate excellent Communication and Customer Service skills, including professional phone etiquette, clear written communication, and courteous in-person interactions.
  • Proficiency with common office software (e.g., word processing, spreadsheets, email, and calendar tools) is highly beneficial.
  • Strong attention to detail, time management abilities, and the capacity to prioritize multiple tasks in a busy environment are important.
  • Prior experience in an administrative or office support role, preferably within hospitality or a service-oriented industry, is an advantage.
  • High school diploma or equivalent required; additional coursework or certification in office administration, business, or related fields is a plus.
