General Purpose of the Position
This is a full-time, long-term opportunity for a dedicated administrative professional seeking a career-focused role. The position is responsible for providing executive support, office management, customer service, and front-desk reception for GCK Accounting's Denver office.
The ideal candidate is highly organized, detail-oriented, and capable of supporting busy executives in a dynamic environment. Success in this role requires strong verbal and written communication skills, the ability to collaborate effectively with team members across multiple office locations, and a commitment to maintaining the highest level of client confidentiality. Candidates should demonstrate a professional, business-casual demeanor, a positive customer-service mindset, and the ability to thrive in a fast-paced atmosphere, particularly during tax season.
Due to the cyclical nature of the accounting profession, overtime will be required during tax season. Additionally, time-off requests will be limited during the firm's peak period from February 1 through April 30 each year.
Essential Duties and Responsibilities
- Coordinate and track client and CPA requests, ensuring timely follow-up and completion of outstanding items.
- Process client payments in collaboration with the Colorado administrative team and ensure accurate reporting and documentation.
- Work collaboratively with team members across multiple office locations, both in person and virtually.
- Monitor voicemail, take and relay messages, schedule appointments, and respond promptly to client emails and inquiries.
- Manage calendar for Colorado CPAs.
- Serve as a primary point of contact for clients, responding to inquiries professionally, promptly, and courteously.
- Answer and direct incoming telephone calls to the appropriate team members while delivering exceptional customer service.
- Scan, organize, and maintain client records and documents in both electronic and physical filing systems.
- Maintain a professional and organized office environment, including handling incoming and outgoing mail, printing, sorting, assembling, and packaging client tax documents.
- Prepare office supply requests, obtain necessary approvals, and coordinate ordering and inventory management.
- Support office operations by performing additional administrative and office management duties as assigned.
