Assessment Services Administrator 

As WorkplaceNL's Assessment Services Administrator, you will be responsible foroverall coordination of departmental processes that support cycles of assessments, auditing and collections, including logistics pertaining to schedules and time management of the department's management team; budgetary tracking; new employee orientation; supporting the implementation of the annual assessment process, collections and audit cycle; providing efficient secretarial and administrative support services to management and staff; managing the efficient flow of mail and employer documents including quality assurance; employer payment processing; coordinating legal actions; leading departmental information management; all while fulfilling a key role in employer communication, including file maintenance.

Role Responsibilities                                                                                             

• Works closely with the director, managers and staff assisting with program and administrative matters pertaining to policies, procedures and practices of the Assessment Services Department.
• Accepts, forwards and responds to inquiries from all industries within a base of approximately 17,000 employers, to support the three primary program streams (i.e., collections, auditing and assessments). 
• Plays a critical role in the information management function of the department, managing confidential and private business information. Maintains the department's document management system and retention strategy.
• Responsible for efficient onboarding of new Assessment staff. Coordinates with ITS and Facilities to ensure all requirements are tested and met at the start of employment or position transition.
• Responds to and redirects internal inquiries from WorkplaceNL to support all lines of business and participates on internal committees supporting operational requirements. 
• Processes employer payments for assessments, penalties, interest, non-sufficient funds, legal fees etc., including debit card transactions and reconciliations. Reviews payments (excluding pre-authorized debit) to ensure payments are applied to correct account and investigates discrepancies.
• Responsible for coordinating collections legal actions. This includes reconciliation to ensure all intended filings are carried out; electronic filing of all certificates and judgments with Registry of Deeds, Supreme Court and Sheriff's Office; entry, maintenance and reconciliation of legal costs; reconciliation of charges on legal invoices prior to Manager approval.
• Works with ITS on system issues, submitting service desk requests and testing system solutions. Updates system parameters related to addresses in the Assessment System. Responsible for the Assessment System letter module including the enhancement, creation and implementation of system letters on the i-series. 

Essential Skills and Qualifications

• Two-year office administration course, supplemented by three years' related experience in secretarial or administrative work.
• Possess knowledge of records and information management practices and procedures and relevant tracking systems.
• Thorough working knowledge of Microsoft Office (PowerPoint, Word, Excel) is required.
• Strong interpersonal skills and ability to communicate effectively with employees and members of the public, both orally and in writing.
• Ability to compose a variety of memoranda, letters and correspondence with brief, general instruction. 
• Well-developed organizational and office management skills are essential, as well as the ability to exercise independent judgment in performing job duties.
