Job description

Position Title: Coordinator, Education Services

Status: Full-time, Exempt

Pay Band / Range: $50,000–$56,000

POSITION OVERVIEW


The Coordinator, Education Services supports the daily coordination of ElevateDD’s statewide education services, with a primary focus on Learning Aid Ohio and Adult Literacy Ohio. The role helps keep learner and tutor enrollment, matching, participant communication, referral follow-up, documentation, and reporting workflows organized, accessible, accurate, and aligned with program requirements.

Reporting to the Senior Manager of Statewide Education Services, this position provides responsive support to learners, families, tutors, contractors, and partners while maintaining reliable program records and communication systems. The role coordinates routine program operations across Learning Aid Ohio and Adult Literacy Ohio and contributes to an efficient, clear, and positive participant experience.

PRIMARY RESPONSIBILITIES


Program Coordination & Participant Support

  • Coordinate day-to-day support workflows for learner, family, tutor, and contractor inquiries, enrollment follow-up, application review, matching status, and program communication.
  • Monitor shared education-services inboxes, return calls, route questions, and document interactions and follow-up needs.
  • Provide program navigation, referral guidance, accessibility-minded support, and resource connection using approved program information and procedures.
  • Coordinate participant materials, program updates, schedules, support tickets, FAQs, and routine communications across Learning Aid Ohio and Adult Literacy Ohio.


Enrollment, Records, & Workflow Support

  • Maintain accurate enrollment, matching, referral, session, communication, and participant-support records in program systems and tracking tools.
  • Complete routine updates to participant records, communication logs, support queues, and program documentation.
  • Support application review, tutor recruitment and onboarding workflows, tutor engagement, and retention activities.
  • Identify incomplete or inconsistent information and coordinate corrective follow-up with staff, participants, tutors, or contractors.


Reporting, Improvement, & Cross-Team Support

  • Support the Senior Manager with implementation of program operations, funding deliverables, reporting, and continuous-improvement activities.
  • Assist with program data cleanup, dashboard support, grant documentation, contract reporting, and preparation of routine program information.
  • Coordinate with data, communications, advancement, grants, finance, and administration staff on program requests, materials, testimonials, events, and partner needs.
  • Recommend improvements that strengthen program navigation, response time, documentation quality, participant communication, and user experience.
  • Escalate exceptions involving eligibility, funding allocations, matching policy, contracts, compliance, sensitive participant concerns, or external commitments.
  • Protect confidential learner, family, tutor, contractor, and organizational information.
