Job Summary:

The Appointment Setter/Scheduler plays a key role in coordinating meetings, calls, and consultations between clients and company representatives. This position focuses on maintaining efficient scheduling processes, ensuring clear communication, and delivering an excellent experience to every client.

Key Responsibilities:

• Contact prospective and existing clients to arrange appointments or follow-up meetings.
• Manage calendars and schedule bookings according to staff availability and client needs.
• Confirm appointments through phone calls, emails, or text messages.
• Maintain accurate records of all communications and scheduled activities in the company database.
• Provide timely updates to management and team members regarding schedule changes or cancellations.
• Respond promptly to inquiries and assist clients with rescheduling requests.
• Collaborate with sales and administrative teams to optimize appointment flow and time management.
• Meet daily and weekly goals related to call volume, appointments set, and conversion rates.

Qualifications:

• Strong communication and interpersonal skills.
• Excellent organizational and time-management abilities.
• Proficient in using scheduling software, spreadsheets, and CRM systems.
