High-End Residential Interior Design Purchasing Assistant / Procurement Coordinator — Jacksonville, FL

We are seeking a highly organized local Purchasing Assistant / Procurement Coordinator to support a high-end residential interior design firm serving Jacksonville, Ponte Vedra, St. Johns, the Beaches, Riverside, Avondale, Ortega, Amelia Island, and surrounding North Florida areas.

This is not primarily a design role. The main need is someone who can manage purchasing, vendor follow-up, order tracking, receiving, delivery coordination, invoice entry, and project organization. The right candidate should enjoy organization, purchasing, vendor follow-up, order tracking, and detailed administrative work as much as the creative side of interior design.

Responsibilities

  • Enter vendor invoices, purchase orders, bills, and expenses into QuickBooks or similar software
  • Place orders with vendors and track order confirmations
  • Track deposits, balances due, lead times, shipping dates, and delivery dates
  • Follow up with vendors on pricing, availability, backorders, freight, and receiving
  • Coordinate receiving, delivery, vendor pickups, and install preparation
  • Maintain project purchasing trackers by client, room, vendor, item, cost, and status
  • Organize receipts, invoices, vendor quotes, product specs, and project files
  • Communicate professionally with vendors, showrooms, delivery teams, and the internal design team
  • Assist with occasional errands, showroom visits, site visits, and install support

Requirements

  • Must be local to Jacksonville / North Florida
  • Must be able to travel locally to client homes, showrooms, vendors, receiving locations, and project sites
  • Strong Excel or Google Sheets skills
  • Strong organization and follow-up skills
  • Comfortable with QuickBooks, or willing and able to learn quickly
  • Experience with purchasing, order tracking, vendor coordination, bookkeeping, interior design, construction, furniture, or home-related vendors preferred
  • Detail-oriented, responsive, and able to manage many moving pieces at once

Preferred Tools / Experience

  • QuickBooks
  • Excel / Google Sheets
  • Google Drive / Dropbox
  • Studio Designer, DesignFiles, Mydoma, or Houzz Pro
  • Canva
  • AutoCAD or SketchUp helpful, but not required

Schedule & Pay

  • Flexible part-time hours to start
  • Estimated 10–20 hours per week depending on project flow
  • $22–$32/hour based on experience
  • $25–$35/hour for someone with strong interior design procurement and QuickBooks experience
  • Contract-to-hire potential for the right person
