REPORTS TO: Owner / Leadership

LOCATION: Primary Yard (On-site)

TYPE: Full-Time, Exempt

POSITION SUMMARY

The Fleet Manager is responsible for the day-to-day management, maintenance, utilization, readiness, and coordination of Clydesdale Equipment Rentals' heavy equipment fleet, including trucks, trailers, attachments, and support assets.

This is a hands-on leadership role responsible for ensuring equipment is safe, available, properly maintained, accurately tracked, and efficiently deployed to support affiliated companies and external customers.

The ideal candidate brings strong heavy equipment rental experience, operational discipline, and proven fleet management practices from a larger regional or national equipment rental organization.

KEY RESPONSIBILITIES

Fleet Operations & Equipment Readiness

  • Manage fleet location, status, availability, condition, and utilization.
  • Oversee equipment check-in/check-out, staging, inspections, and rental readiness.
  • Coordinate equipment mobilization, transfers, deliveries, pickups, and returns.
  • Ensure equipment is clean, safe, serviced, and ready when needed.
  • Identify underutilized equipment and recommend redeployment, rental, or disposition.

Maintenance & Asset Management

  • Develop and manage preventive maintenance schedules and inspection programs.
  • Coordinate repairs and service with internal technicians, dealers, and outside vendors.
  • Track downtime, repair costs, warranties, maintenance history, and equipment condition.
  • Make recommendations regarding repair versus replacement, rebuilds, acquisitions, and equipment disposal.
  • Maintain accurate fleet and maintenance records.

Rental, Dispatch & Utilization

  • Coordinate equipment rental requests for affiliated companies and external customers.
  • Manage scheduling and fleet allocation based on availability, project priorities, customer demand, and utilization.
  • Ensure rental documentation and equipment condition reports are completed accurately.
  • Coordinate outside rentals when fleet demand exceeds availability.
  • Monitor utilization and minimize unnecessary equipment idle time.

Yard Operations & Team Leadership

  • Oversee daily fleet-related yard and shop activities.
  • Establish clear daily and weekly priorities for equipment readiness, maintenance, and dispatch.
  • Lead and hold accountable fleet, yard, maintenance, and operational team members within the scope of the role.
  • Maintain high standards for yard organization, equipment condition, and customer readiness.
  • Identify process gaps and implement practical operational improvements.

Fleet Performance & Cost Control

  • Monitor fleet utilization, downtime, maintenance costs, repair costs, and rental performance.
  • Establish and track key fleet KPIs and provide regular reporting to leadership.
  • Review vendor invoices and fleet-related expenses for accuracy and cost control.
  • Support rental rate development, fleet acquisition planning, capital budgeting, and asset lifecycle decisions.
  • Manage equipment as both an operational resource and a revenue-producing asset.

Safety, Compliance & Accountability

  • Ensure equipment meets company, OSHA, DOT, manufacturer, and applicable safety requirements.
  • Remove unsafe equipment from service until corrective action is completed.
  • Document equipment condition, damage, meter readings, fuel levels, and missing components.
  • Investigate equipment damage and coordinate corrective action or cost recovery when appropriate.
  • Maintain accountability for equipment, vehicles, attachments, tools, and other fleet assets.

Vendor & Customer Relations

  • Maintain relationships with dealers, repair facilities, trucking companies, suppliers, and rental partners.
  • Coordinate repair priorities, service timelines, and outside rental support.
  • Provide responsive communication to project teams, affiliated companies, vendors, and customers.
  • Resolve equipment-related issues quickly and professionally.
Requirements:

QUALIFICATIONS

  • 5–10+ years of fleet management, equipment rental, heavy equipment operations, maintenance, logistics, or related experience.
  • Experience working within a larger regional or national equipment rental organization strongly preferred.
  • Strong knowledge of heavy equipment, trucks, trailers, attachments, and fleet maintenance practices.
  • Experience with preventive maintenance, equipment dispatch, rentals, utilization, and lifecycle management.
  • Hands-on leadership experience within a yard, shop, fleet, or rental environment.
  • Strong organizational, communication, leadership, and problem-solving skills.
  • Knowledge of OSHA, DOT, equipment inspection, and safety requirements.
  • Experience with fleet management software, rental systems, telematics, GPS tracking, and Microsoft Office.
  • Valid driver's license required.
  • Mechanical aptitude, CDL, equipment operating experience, or fleet certifications preferred.

The Fleet Manager is accountable for ensuring:

  • Equipment is safe, inspected, and ready before it is needed.
  • Preventive maintenance is prioritized and downtime is minimized.
  • Fleet utilization is actively managed.
  • Equipment location and availability are accurately tracked.
  • Rentals and equipment movements are properly documented.
  • Equipment damage and repair costs are controlled.
  • Yard and fleet operations are organized and accountable.
  • Internal teams and external customers receive responsive service.
  • Fleet assets are protected and managed for long-term performance and profitability.

This is a hands-on position requiring regular presence in the equipment yard, shop, and field. Local or regional travel and schedule flexibility may be required based on operational needs.
