WHAT YOU'LL DO.
Project Managers are the operational backbone of the agency. You bring structure to creativity and momentum to execution.

Agency Organization

• Oversee server management and drive adoption of proper file organization across teams.

• Maintain and support final art portfolio archiving standards.

• Ensure consistent use of job jackets and documentation best practices.

• Drive adoption of agency templates, branding materials, and shared resources.

• Support maintenance and organization of Chemistry website assets and materials.

• Participate in weekly executive meetings, highlighting concerns, due dates, and resource needs.

• Keep executive leadership informed of day-to-day "floor" activity and project health.

Project Management Operations

• Own and enforce project processes and procedures across all teams.

• Establish and maintain clear project workflows from kickoff through delivery.

• Implement baseline project standards and documentation requirements.

• Lead adoption and management of Webvantage scheduling and resource tracking.

• Track PTO and assess resource impact on schedules.

• Build and maintain detailed project schedules and team assignments.

• Facilitate cross-functional communication and foster ownership across teams.

Traffic Management

• Allocate resources based on workload, skill sets, and timelines.

• Assign and manage individual project schedules within Webvantage.

• Ensure tasks are current, properly assigned, and aligned to deadlines.

• Monitor agency-wide deadlines and maintain visibility into the "big picture."

• Lead weekly meetings with Account Executives to review project status against timelines.

• Conduct weekly workload meetings with department leaders to assess capacity and adjust priorities.

New Business Process & Procedures

• Establish and manage new business workflow for both new and existing clients.

• Support cross-office implementation of new business processes as needed.

• Maintain and organize proposal templates, case studies, team bios, and resource catalogs.

• Oversee Keynote and PowerPoint template consistency and version control.

WHAT WE'RE LOOKING FOR.
Science tells us that the most effective Project Managers (and ideal candidates for this role) bring a good mix of the following elements to the table:

• The knowledge, skills, and abilities typically acquired through a combo of education/formal training and 5+ years' work experience in project management, traffic management, or operations within an advertising, digital, or media agency environment.

• Strong understanding of agency workflow from briefing through production and launch.

• Experience managing scheduling tools and resource allocation systems (Webvantage experience preferred).

• Demonstrated ability to enforce process while maintaining strong cross-functional relationships.

• Exceptional organizational skills and attention to detail.

• Proven ability to manage multiple projects and shifting priorities under deadline pressure.

• Strong communication and leadership skills, with the ability to influence without authority.

• Cross-functional experience working closely with creative, account, media, and production teams.
