Medical Receptionist & Patient Experience Coordinator

Breakthrough Functional Medicine

Schedule:  Full-time M-F 8am – 4pm M-R, 8am-12pm F starting in September, 2026

Compensation:  $22–$26/hour depending on experience

Reports To:  Co-Owners / Nurse Practitioner


About the Practice

Breakthrough Functional Medicine is a new functional medicine practice in North Scottsdale opening in September 2026. Our provider is a multispecialty-trained nurse practitioner with 15 years of experience and a national reputation for diagnosing and treating complex, rare, and difficult-to-resolve conditions. We offer advanced integrative therapies including EBOO, IV therapy, low dose immunotherapy (LDI), and hormone replacement therapy (HRT). Our patients are health-conscious, highly motivated individuals—many travel from out of state specifically to receive care here.

This is a membership-based, cash-pay practice. We do not accept insurance. Our focus is on delivering an exceptional, unhurried patient experience built on trust, warmth, and clinical excellence.


The Role

We are looking for a kind, warm, and organized individual to serve as the first point of contact for our patients. This role is a full-time receptionist with opportunities for pay increase based on performance, with the possibility of moving into an office manager role with more responsibility and compensation.

Experience in a medical office is a plus, but it is not required. We value genuine warmth, emotional intelligence, and a caring spirit above all else. Candidates from hospitality, high-end retail, or wellness backgrounds are encouraged to apply. We will train you on everything you need to know.


Schedule

•        Full-time: Monday–Thursday, 8:00 AM – 4:00 PM; Friday, 8:00 AM – 12:00 PM (36 hours/week)

•        6 paid holidays per year

Responsibilities


Patient Experience & Front Desk

•        Greet every patient with genuine warmth and make them feel welcome from the moment they walk in

•        Schedule appointments by phone, email, and in person

•        Answer phones and respond to patient inquiries with patience and care

•        Assist patients with portal setup and navigation

•        Check patients in and out, including collecting payments and gathering supplements for their visit

•        Room patients, check and record vital signs, and ensure they are comfortable before the provider enters

•        Clean and wipe down exam rooms between patient visits

•        Ship supplements to out-of-area patients

Membership Coordination

•        Process new memberships, renewals, and monthly payment processing

•        Maintain accurate membership records and patient information in practice systems

•        Communicate with prospective patients about the practice model, appointment process, and membership details

•        Support member retention by building genuine relationships and following up with patients as needed

Administrative & Office Operations

•        Enter payments and make occasional bank deposits (checks and cash)

•        Enter data into QuickBooks (accounts receivable tracking; all bill payments and financial oversight handled by the provider)

•        Request, track, and scan medical records, mostly through electronic fax

•        Order and maintain supplement inventory; manage supplement accounts

•        Order office supplies and keep the office well-stocked and presentable

•        Maintain the waiting room and general office environment

•        Light daily maintenance cleaning tasks

•        Check and process daily mail

•        Place orders for labs, referrals, and radiology as directed by the provider

Clinical Support (with training)

•        You will be trained to take patient vital signs including blood pressure, pulse, oxygen saturation, temperature, height, and weight

•        Perform light medical assistant duties as directed by the provider, including assisting with room setup and patient flow

•        Additional clinical support responsibilities will be added over time with appropriate training, until a dedicated medical assistant or nurse is hired

•        Willingness to learn and be comfortable in a clinical environment is essential for this role

•        Will carry light Medical assistant duties as mentioned until one is hired

Qualifications in an ideal candidate

•        Genuinely kind and empathetic

•        Health-conscious and holistically-minded or open to these things

•        Organized, dependable, and take pride in doing things well

•        Clearly and warm communication, both in person and on the phone

•        Comfortable learning new systems and processes (we use Cerbo EHR and QuickBooks)

•        Self-starter who can manage tasks independently in a small office environment

•        Not squeamish in a clinical setting and are willing to be trained on vital signs and light medical assistant tasks

•        Has discretion and understands the importance of patient confidentiality (HIPAA)

Preferred but Not Required:

•        Prior experience in a medical office, wellness clinic, hospitality, or high-end customer service

•        Familiarity with QuickBooks, EHR systems, or patient scheduling software

•        Phlebotomy or medical assistant certification (not required, but a bonus for future growth)

 

Compensation & Benefits

•        Starting Pay: $22–$26/hour depending on experience

•        Pay Growth: Performance review and potential raise at 90 days upon transition to full-time

•        Time Off: 2 weeks paid time off (accruing after 90-day probationary period), plus 6 paid holidays and sick time
