Provides direct administrative support to the Air Wing Administrative Officer and the Front Office, performing a broad range of executive, timekeeping, records, and office-management functions in a fast-paced government-services environment including:

• Reports to and provides direct support to the Air Wing Administrative Officer
• Supports Air Wing staff across full range of administrative functions supporting Air Wing Front Office and Air Wing personnel as directed by the Administrative Officer
• Processes biweekly timecards and payroll inputs for approximately half of Air Wing staff
• Prepares and processes official and diplomatic passport and visa applications
• Supports the Air Wing Records Manager/Custodian and SharePoint Administrator with records maintenance and site upkeep
• Captures, monitors, and tracks action items in the SharePoint Task Tracker, following up with action owners to ensure timely status updates are recorded
• Manages executives' calendars on a daily, weekly, and monthly basis, and coordinates travel for GS-15 and above personnel in accordance with federal travel regulations
• Maintains office supply inventory and places orders as needed.
• May be temporarily assigned to provide administrative or clerical support to other professional staff as needed
• Monitors the Air Wing front-office entrance and greets/screens visitors

• HS Diploma or equivalent
• Minimum 2 years' experience providing administrative or meeting support in a professional office environment
• DoD Secret clearance is required
• Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and SharePoint
• Self-motivated with the ability to maintain a customer-focused approach independently
• Demonstrated discretion in handling sensitive, proprietary, or classified information

• Associate's degree or higher
• Prior experience supporting senior executives (GS-15/SES or equivalent)
• Experience coordinating government travel (E2 Solutions or similar)
• Familiarity with Department of State or DoD administrative processes
• Active DoD Secret clearance is required
• Working familiarity with current AI productivity tools (e.g., Copilot, ChatGPT) for drafting and summarization tasks
• Ability to work on-site at the Melbourne, FL location on a full-time basis
