Executive Assistant – Executive Operations & Platform Support
About the Role
We are looking for a highly capable Executive Assistant to serve as a true extension of executive leadership within a multi-entity family office and operating platform. This is not a traditional administrative role. You will sit at the center of a complex ecosystem spanning investments, operating companies, partnerships, and advisors—and help bring structure, momentum, and follow-through to executive priorities.
The right candidate is highly organized, calm under pressure, detail-oriented, and proactive by default.
What You’ll Do
Act as a right hand to executive leadership, managing calendars, priorities, and information flow across multiple companies and stakeholders
Coordinate meetings across internal teams, portfolio companies, external partners, and advisors—owning agendas, preparation, follow-ups, and action tracking
Manage high-volume email and communications with sound judgment and discretion
Handle complex travel planning, logistics, and expense reporting across entities
Support hiring, onboarding, and internal coordination as the platform grows
Build and maintain systems, workflows, and documentation to improve efficiency and clarity across the organization
Track deadlines, commitments, and next steps to ensure executive initiatives move forward
Assist with special projects, operational initiatives, and ad-hoc problem solving as needed
Serve as a trusted point of coordination in a fast-moving, high-expectation environment
Who You Are
Exceptionally organized with strong attention to detail
Proactive, resourceful, and able to anticipate needs before they arise
Comfortable operating in a dynamic, multi-company environment
Discreet and trustworthy with confidential and sensitive information
Clear, professional communicator with strong writing skills
Able to manage competing priorities without losing momentum
Qualifications
Advanced proficiency in Google Workspace (Calendar, Docs, Sheets, Drive, Gmail)
Strong organizational, communication, and time-management skills
Ability to work onsite and adapt to shifting priorities
Prior experience supporting senior executives or complex organizations preferred
Why This Role Is Different
This role offers exposure to how a modern family office and operating platform functions across investments, strategy, operations, and partnerships. You’ll work closely with leadership, gain real responsibility, and play a meaningful role in keeping a complex organization running smoothly.
