About the Role

Ai Financial is a Canadian segregated fund distribution company regulated under FSRA. We're looking for a Case Operations Associate to join our back-office team, processing and reconciling segregated fund transactions across multiple fund provider partners. This is a hands-on operational role — accuracy, process discipline, and clear communication matter more than sales or advisory experience.

We believe in full transparency upfront to ensure mutual alignment before you join:

●       We're a small company. Team size, resources, and support infrastructure are not comparable to a big bank or large insurer — you won't have the same layers of backup staff or established systems those environments have.

●       As a small, growing company, we do not currently offer a benefits package company-wide.

●       A meaningful part of the day-to-day work is repetitive by nature — processing similar case types, following the same procedures consistently, day after day.

●       The pace is fast, and case volume can be unpredictable. You'll need to adapt quickly when unexpected or urgent cases come in, sometimes outside a neat, predictable routine.

●       Our processes are still evolving. This is not a mature, fully standardized environment — procedures get refined as we grow, and you'll sometimes be working with things that are actively being built rather than fully finished.

●       This role is on-site at our Markham office, full-time — there is no remote or hybrid flexibility.

Key Responsibilities

●       Process new business, fund switches, redemptions, and other segregated fund transactions accurately and within service-level timelines.

●       Process and track investment loan cases, including loan applications, qualification screening, documentation, disbursement, interest calculations, repayment schedule reconciliation, and related client inquiries.

●       Identify and resolve NIGO (Not In Good Order) cases, following up with advisors and clients to obtain missing or corrected documentation.

●       Reconcile transaction and unit-holding data across fund provider systems and internal records.

●       Liaise directly with fund provider back-office teams (including IA, Manulife, Canada Life, and Equitable) to resolve case-processing issues.

●       Maintain accurate case status tracking and escalate at-risk or delayed cases proactively.

●       Support periodic reconciliation sweeps and data-quality checks.

●       Follow documented procedures precisely, given the financial and compliance sensitivity of the transactions handled.


Training Plan — How We'll Get You Up to Speed

Since we're not requiring a finance background, we've built a structured onboarding path so you're not left to figure things out on your own:

●       Weeks 1–2: Orientation to segregated funds, investment loans, and registered account basics, combined with shadowing experienced Case Ops staff on live cases and a hands-on introduction to internal systems and case-tracking tools.

●       Week 3 onward: Begin independently handling cases, starting with routine case types (fund switches, standard NIGO resolution), with review and support available as you take on more.

●       Ongoing coaching, periodic refreshers on compliance-sensitive procedures, and clear escalation paths for anything outside your current scope.


What We're Looking For

●       Exceptional English communication skills required for daily interaction with advisors and institutions — this role requires frequent, clear communication with advisors and multiple fund provider institutions, so precision in language matters.

●       10+ years of general work experience (office, administrative, or other professional roles). No financial services background is required or preferred — we're looking for strong process discipline, reliability, and workplace maturity, not industry-specific experience.

●       Basic computer literacy and comfort with everyday office software, such as Word, Excel, and email, plus basic professional communication skills over email and phone.

●       High attention to detail and comfort working with financial data where zero-error tolerance is required.

●       Strong organizational skills and ability to manage multiple cases and deadlines simultaneously.

●       Comfortable learning new skills and tools — full training provided for all aspects of the role.


Logistics

●       Employment type: Full-time, permanent.

●       Location: On-site at our Markham office.

●       Compensation: CAD $50,000 + bonus.

●       Start date: Within 1 month of offer.
