Key Responsibilities

  • Client Interaction and Documentation: Manage daily client communications through one-on-one interactions, emails, phone calls, typed correspondence, handwritten notes, and videos. Thoroughly document all advisor-client interactions, conversations, concerns, and implementation notes to uphold our "document, document, document" mantra while maintaining strict client privacy.
  • Portfolio and Research Support: Research investment portfolios and life insurance options; assist in portfolio construction, implementation, and servicing of advice and products (when properly licensed). Update financial models with daily statements, values, and client-provided information.
  • Appointment Management: Prepare for weekly and upcoming appointments by creating daily folders, compiling abbreviated notes for advisors, initiating financial modeling, and coordinating item requests. During meetings, take detailed notes; post-appointment, handle follow-ups including emails, meeting recaps, action item coordination, and task assignments with team members.
  • Office Support and Cross-Training: Serve as backup for office management tasks such as answering client calls, assisting clients, scheduling appointments, and preparing applications for investment accounts or insurance. Research client questions, optimize portfolio constructions, and develop skills toward independent advisory work.
  • Task Prioritization: As deadlines approach, prioritize client documentation and action items to protect and manage advisors' time effectively.

Qualifications and Skills

  • Education and Experience: College degree is a plus; experience in financial services, para-legal, banking, insurance, marketing, or sales is highly valued. Customer service background preferred.
  • Essential Skills: Strong computer literacy, including proficiency in Microsoft Suite and Excel. Excellent oral and written communication, telephone etiquette, and interpersonal skills. Superior time management, multitasking abilities, self-direction, and a positive attitude are crucial.
  • Personal Attributes: Detail-oriented, resourceful, and committed to exceptional client care. Must pass fingerprint, criminal, and credit background checks. If not currently securities licensed, willingness to pass the Securities Industry Essentials (SIE) Exam is required.
  • Growth Potential: Within three years, this role can evolve into providing independent advisory work, offering a clear path for professional advancement to an advisor position.

What We Offer

  • Work-Life Balance: Full-time position based on a 36-hour workweek, with our office closing every Friday at 12:30 PM—giving you more time for family, personal tasks, and a rejuvenating weekend.
  • Generous Time Off: Paid Christmas break from Christmas Eve through New Year's Day; extra paid days off including full Fridays before Memorial Day and Labor Day weekends, Presidents' Day, and Martin Luther King Jr. Day; plus earned vacation time.
  • Competitive Compensation: Starting salary range of $38,000 - $48,000, commensurate with experience.
