Guest Services Specialist

The Educational Service Center of Northeast Ohio is seeking a Guest Services Specialist for a full-time, 260-day term. This role serves as the welcoming first point of contact for guests at ESC NEO's conference center and third floor reception area, managing the day-to-day operations of the on-site production center. The Guest Services Specialist provides front-line guest services and backup support to the Conference Center Coordinator, provides coverage for the third floor reception area, and manages internal and external print/production requests. This role requires a professional, self-directed, collaborative individual able to manage multiple concurrent responsibilities with approachability, accuracy, and efficiency in order to support a positive guest experience and smooth daily operations across ESC NEO.

Qualifications:

  • High school diploma or equivalent required; associate degree or higher in Business Administration, Hospitality, or a related field preferred.
  • Minimum 12 years of experience in customer service, receptionist, hospitality, or office operations.
  • Experience in a print production, copy center, or similar environment preferred.
  • Background in event coordination, hospitality, or conference services preferred.
  • Experience with graphic design or design software (e.g., Canva, Adobe Creative Suite) preferred.
  • Demonstrated effective interpersonal and communication skills; warm, professional, and approachable demeanor.
  • Demonstrated ability to multitask across simultaneous responsibilities with accuracy and composure.
  • Confident operating office and production equipment, or willingness to learn.
  • Strong organizational skills and meticulous attention to detail.
  • Proficiency with standard functions within electronic applications such as MS Office (e.g., word processing, electronic spreadsheets), Google Suite, and e-mail.
  • Proficiency with computers to include desktop management, file management and operations, and working in a network environment.
  • Self-directed with the ability to work independently and proactively with minimal supervision.
  • Professional discretion in handling visitor, staff, and organizational information.

Responsibilities:

  • Serve as the first point of contact for all visitors, training participants, and guests arriving at the ESC NEO first-floor conference center.
  • Uphold professional front-of-house standards.
  • Greet guests professionally; direct them to the appropriate conference room.
  • Provide backup support to the Conference Center Coordinator.
  • Monitor guest flow throughout the day and provide ongoing wayfinding support.
  • Operate and maintain production center equipment, including high-volume copiers/printers, laminators, binding machines, and cutting tools.
  • Receive, review, and fulfill internal and external print and production job requests with accuracy and quality.
  • Manage the production job queue and prioritize requests to meet departmental deadlines.
  • Track inventory of production supplies and consumables; initiate procurement requests as needed.
  • Troubleshoot basic equipment issues; coordinate vendor service calls as needed.
  • Maintain a clean, organized, and efficient production workspace.
  • Answer and route all incoming phone calls to the appropriate staff or department.
  • Provide third-floor reception desk coverage and serve as a resource for general inquiries from staff and visitors.
  • Stay informed of trends and best practices regarding hospitality, guest services, and production operations.

Salary: To be determined based on education and experience. Salary range $56,000-$60,000.
