Position Introduction:
Ambassador & Event Planners of Esports and Co-Curricular Innovation
The University of Oklahoma Division of Student Affairs is looking for highly personable, operationally focused undergraduate and graduate students to serve as ambassadors and event planners for Esports and Co-Curricular Innovation (ECCI).
This role serves as the face and moderator of the OU Esports & Gaming Complex during operational hours, responsible for transitioning the gaming lounge from a passive space to an active, welcoming community. Additionally, this role acts as an ambassador dedicated to the creation, promotion, and execution of ECCI's community events.
OVERALL SCOPE
Program Culture & Customer Service:
  • You are expected to embody a "greeter mentality" by providing high-energy, welcoming, and personable interactions in all environments. You must proactively greet every person who enters the space, ensuring all guests feel welcome, informed, and supported. During events, you will act as a "Social Butterfly," ensuring competitors, casual attendees, and VIPs have an exceptional experience. This team is the epicenter of ECCI and is intended to ensure gaming-inspired programming remains available and welcoming for all gamers.

Availability & Communication:
  • You should maintain regular communication with your supervisor. This includes attending regularly scheduled meetings and staying attentive and responsive via communication networks such as Discord and email.

Operational & Facility Management:
  • You will strictly follow the Standard Operating Procedures (SOP) created by your supervisor. This includes maintaining venue operational awareness, completing all required documentation and shift reporting accurately, and ensuring the space is clean, functional, presentable and secure at all times.

Digital Presence & Technology Use:
  • You will actively monitor and engage in the OU Gaming Club Discord. This includes greeting new members, initiating daily conversations, and ensuring community members know you are a resource.

Community Engagement & Event Execution:
  • You will actively cultivate the community by hosting casual activations (e.g., TCG nights, watch parties) and launching impromptu community games. Select employees will also plan, promote, and execute a predetermined number of events per semester, tailoring programming to community requests and gaming trends while prioritizing revenue capable activations.

Advocacy, Visibility, & Media:
  • You will actively collect media artifacts (photos, videos, testimonials) during operational hours and events to support marketing teams. You will also provide promotional support through scheduled tabling, chalking, and executing marketing workflows for major semester pushes and VIP program awareness.

POSITION SUMMARY:
Combined responsibilities include, but are not limited to:
  • Manage day-to-day operations of the OU Esports & Gaming Complex in accordance with SOPs
  • Provide exceptional, proactive customer service to all guests and VIPs in physical and digital spaces
  • Facilitate virtual, physical, and hybrid gaming/esports event programming and casual activations
  • Maintain active moderation and community-building within Discord
  • Ensure compliance with Title IX and other University policies & procedures
  • Work a flexible schedule when needed
  • Perform other duties as assigned

Required Education and Experience:
  • Must be a current or incoming OU Student and enrolled in the SUMMER and/or FALL semester(s).
  • If not yet enrolled for classes, please attach a document explaining actual or estimated application and/or enrollment date in the area reserved for class schedule.

  • Excellent oral and written communication skills; ability to handle day-to-day disputes autonomously and escalate major concerns appropriately
  • Proficiency with Discord for communications, community management, and an understanding of social media/live stream platforms
  • Strong process improvement skills/experience
  • Ability to work well with others in a collaborative and respectful manner
