Job Summary The Cu stomer Service Specialist is responsible for managing and processing customer service activities related to Adverse Events (AE) and Technical Product Complaints (TPC). This role supports customer reimbursement and product return processes, ensures compliance with regulatory requirements, coordinates with internal and external stakeholders, and delivers exceptional customer service while maintaining adherence to quality, pharmacovigilance, and GMP standa rds. Key Responsibilities Customer Service & Complaint Management Pro cess and review customer service requests related to Adverse Events (AE) and Technical Product Complaints (TPC). Manage Return Authorization Numbers (RAN), invoice tracking requests, credits, product pickups, replacements, and customer reimbursements. Process customer credits and ensure accurate documentation and recordkeeping. Arrange product returns and manage associated legal release documentation. Maintain and monitor department email inboxes and ensure timely responses and follow-up actions. Reporting & Analysis Research relevant topics and investigate customer service issues as needed. Run queries and generate reports requested by management. Participate in call analysis activities and identify trends, concerns, or product usage issues. Report findings and recommend improvements to management when appropriate. Cross-Functional Collaboration Communicate effectively with internal and external stakeholders, including: Veterinary Technical Services (VeTS) Distributors Third-party vendors Pharmacovigilance teams Quality Assurance Warehouse Operations Field Sales Representatives Customer Care teams Collaborate with team members to achieve department milestones, KPIs, and operational objectives. Support the development, maintenance, and improvement of departmental business processes. Compliance & Quality Assurance Ensure all activities are performed in compliance with applicable regulations, company policies, and industry standards. Maintain adherence to Good Manufacturing Practices (GMP), pharmacovigilance requirements, and complaint handling procedures. Promptly report any observed or suspected compliance violations to management. Demonstrate high ethical and professional standards in all interactions with customers and business partners. Support product stewardship initiatives by balancing customer service excellence with regulatory compliance requirements. Administrative & Operational Support Maintain accurate documentation and records within validated systems. Assist with departmental projects and additional assignments as required. Contribute to process improvements that enhance customer experience and operational efficiency. Required Qualifications Associ ate Degree in Business, Life Sciences, or a related field. Minimum of 3 years of experience in customer service, GMP compliance, complaint handling, or a related regulated environment. Strong customer service orientation with a commitment to delivering high-quality support. Experience working with validated systems and regulated processes. Basic proficiency in Microsoft Office Suite and database applications. Strong organizational, analytical, problem-solving, and time management skills. Excellent attention to detail and accuracy. Strong verbal and written communication skills. Ability to work independently, manage multiple priorities, and perform effectively under pressure. Ability to collaborate effectively within a team environment. Basic understanding of veterinary practice procedures and related customer concerns. Ability to balance regulatory compliance requirements with a positive customer experience. Preferr ed Qualifications Bachelor's Degree in Business, Life Sciences, or a related discipline. Experience working with SAP or other validated ERP/database systems. Previous experience in the pharmaceutical, animal health, healthcare, or regulated manufacturing industry. Knowledge of pharmacovigilance, adverse event reporting, and technical complaint management processe s. Certifications (If Any) No specific certifications required. GMP, Quality Management, Customer Service, or Regulatory Compliance certifications are considered a plus. Education: Associate's Degree
