Job description

Bilingual Medical Assistant (Spanish/English Required)

Job Summary

The Bilingual Medical Assistant (MA) supports both clinical and administrative operations with a strong emphasis on weight loss therapies, hormone replacement therapy (HRT), and aesthetic procedures. This role ensures accurate documentation, safe medication handling, and effective communication with Spanish-speaking patients while maintaining high clinical standards and workflow efficiency.

Clinical Duties

  • Perform comprehensive patient intake:
    • Vital signs (BP, HR, RR, Temp, SpO2, weight, BMI)
    • Chief complaint and structured HPI
  • Complete full chart reconciliation:
    • Medications, allergies, PMH, PSH, family history
  • Prepare exam rooms and ensure proper stocking of supplies
  • Assist providers with:
    • Injections (IM/SubQ)
    • Phlebotomy and specimen processing
    • Minor procedures and wound care
  • Perform CLIA-waived testing and document results
  • Maintain strict infection control and room turnover protocols

Weight Loss Program Duties (Semaglutide / Tirzepatide)

Patient Workflow Management

  • Verify eligibility and ensure baseline labs are completed and reviewed
  • Document:
    • Starting weight, BMI, and goal weight
    • Contraindications (e.g., thyroid cancer history, pancreatitis)
  • Educate patients on:
    • Weekly injection technique
    • Dose escalation schedule
    • Side effects (nausea, constipation, dehydration risks)

Injection & Follow-Up

  • Prepare and administer injections per provider order
  • Ensure correct:
    • Dose
    • Lot number documentation
    • Expiration tracking
  • Schedule and track monthly follow-ups (8-visit structure if applicable)
  • Monitor and document:
    • Weight loss progress
    • Adverse effects
    • Compliance

Inventory & Medication Handling

  • Maintain proper refrigeration logs
  • Track inventory levels and report shortages
  • Ensure proper storage per manufacturer guidelines

Testosterone Therapy Support (HRT)

Patient Monitoring

  • Assist with baseline and follow-up labs:
    • Testosterone levels
    • CBC (monitor hematocrit)
    • PSA (if applicable)
  • Document symptoms and response to therapy:
    • Energy, libido, mood, strength

Injection Support

  • Administer testosterone injections (IM/SubQ) per protocol
  • Educate patients on:
    • Self-injection (if applicable)
    • Risks (polycythemia, cardiovascular concerns)

Compliance Duties

  • Perform and document PMP/PDMP checks (if required by clinic policy)
  • Track lab intervals and flag abnormal values for provider review
  • Coordinate callbacks for lab reviews and follow-ups

Aesthetic Procedures Support

Botox & Dermal Fillers

  • Prepare treatment rooms and sterile trays
  • Assist provider during procedures
  • Pre-procedure:
    • Take standardized before photos
    • Apply topical numbing agents if indicated
  • Post-procedure:
    • Provide aftercare instructions
    • Educate on complications (bruising, swelling, vascular occlusion signs)

Laser Hair Removal (e.g., GentleMax Pro or equivalent)

  • Prepare and calibrate laser equipment per protocol
  • Verify patient candidacy (skin type, contraindications)
  • Apply safety measures:
    • Protective eyewear
    • Proper settings per provider guidance
  • Assist or perform treatments (if certified and allowed)
  • Document settings, treatment area, and patient tolerance

Bilingual Patient Communication (Spanish Required)

  • Serve as interpreter for all Spanish-speaking patients
  • Translate:
    • Treatment plans
    • Consent forms
    • Medication instructions
  • Ensure full patient understanding and informed consent
  • Provide culturally competent care

Administrative Duties

  • Manage scheduling and patient flow in EMR
  • Answer phones and patient inquiries (Spanish/English)
  • Verify insurance and collect payments (if applicable)
  • Process:
    • Prior authorizations
    • Lab orders
    • Referrals
  • Manage no-shows and reactivation workflows

Compliance & Safety

  • Adhere to:
    • HIPAA

    • Controlled substances (if applicable)
    • Lab handling
  • Follow sharps safety and biohazard protocols

Required Qualifications

  • Fluent in Spanish and English (REQUIRED)
  • Medical Assistant certification preferred (CMA/RMA)
  • Experience in:
